Job Summary:  To provide clerical duties including accounting, payroll, preparation of purchase orders, budgeting functions and Infinite Campus tasks and other duties that enhance the smooth operation of Sunny View School by performing the essential functions listed below. Duties should be performed with limited supervision.  The position is from 7:30am-4:30pm Monday through Friday, with a one-hour lunch break. 
 
 
Essential Functions:
1.   Operate Infinite Campus
  • Enter data: absence notes, discipline information, student/teacher schedules.
  • Print student report cards and attendance summaries.
  • Run reports: school and county.
  • Attend Infinite Campus training sessions.
2.   Perform receptionist/secretarial duties.
  • Answer the telephone and deliver messages in a pleasant, professional manner.
  • Assist with sick children, when the nurse is unavailable, and call parents when the need arises.
  • Schedule conferences and appointments for teachers and the principal.
  • Make copies for dissemination of school information.
  • Type and mail letters.
  • Administer medication as delegated by the school nurse.
  • Assist with school safety: safety drills and reports
3.   Perform financial/budget duties.
  • Receive and count money turned in to the office by teachers.
  • Prepare purchase orders, and perform budgeting functions
  • Maintain the school bank account: write checks, balance check book, record receipt and disbursements.
  • Prepare requisition orders and follow up on order receipts.
  • Review budget and funding information with the principal.
4.   Maintain payroll records.
  • Secure substitutes.
  • Maintain a record of staff attendance.
  • Complete payroll information for finance office.
5.   Maintain student records.
  • Enroll new students.
  • Follow up on student immunizations.
  • Secure records from transferring schools.
  • File test data and other information in student cumulative folders.
6.  Other duties as assigned.
 
Education, Experience, and Skills Required:
  1. High school diploma.
  2. Knowledge of and ability to use a computer and other office machinery.
  3. Knowledge of grammar, spelling and vocabulary.
  4. Ability to handle multiple tasks at the same time.
  5. Ability to effectively communicate in person and by telephone and electronically with a wide audience. 
  6. Ability to be tactful, courteous and maintain confidentiality
  7. Ability to establish effective working relationships with supervisors, students, parents, coworkers and the general public.
  8. Ability to function successfully in stressful situations.
  9. Office experience preferred.
Terms of Employment:          11 months – Clerical Salary Scale
 
Evaluation:
Performance of this job will be evaluated annually in accordance with provisions of Board of Education policy, North Carolina statutes, and goals established by the Principal.
 
Environmental Factors:
This position requires dealing with sick children and contact with some bodily fluids. The ability to climb steps and sit for extended periods of time are necessary job tasks.
