Join our dynamic team at the prestigious Ponte Vedra Inn & Club as a Wedding & Special Events Manager. We are renowned for curating unforgettable experiences for our guests and are currently seeking a passionate, detail-oriented professional to fill this crucial role. As a Wedding & Special Events Manager your responsibilities will revolve around meticulously planning and executing every aspect of weddings and special events to surpass our guests' expectations.
QualificationsEducation: Four-year college degree, with a preferred major in related field, i.e. Hotel Management, Business or Marketing or 5 years prior experience in Conference & Catering.
Training and Experience: Prior experience in conference and catering coordination. Must have a valid Driver’s License.
Job Knowledge: Must have a working knowledge of weddings, service agreements and banquet event orders and a general knowledge of hotel/resort operations and procedures.
Job Summary: Responsible for managing and coordinating the many and varied details relating to the successful servicing of weddings and at Ponte Vedra Inn & Club.
Physical Abilities: Must be able to work on feet, moving about for several hours at a time. Be able to work under busy conditions.
Job Duties And Functions
  • Must be able to work a flexible schedule, to include weekends, holidays if needed.
  • Arrive to work on time, consistently.
  • Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
  • Hair must be clean and cut in a becoming style; management has final approval.
  • Attend all required training, safety courses; attend office and departmental meetings.
  • Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
  • Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.
  • Responsible for enforcing the terms of sales letter of agreement and guiding meeting planners through the planning process.
  • Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Communicate the needs and expectations of the client with all departments in the hotel.
  • Respond to all wedding inquiries (RFPs, Knot, Wedding Wire, Phone, Etc.)
  • Conduct all wedding site tours for prospective clients.
  • Contract all wedding and special events (including rehearsal dinners, farewell brunches, etc.)
  • Contract all wedding room blocks with assigned parameters.
  • Remain current on all Bridal market trends in order to provide knowledgeable, thoughtful and inspiring suggestions for all elements of the wedding
  • Maintain a complete knowledge of and effectively communicate all wedding and catering offerings as well as property-wide products and services
  • Maintain strong relations with wedding vendor partners
  • Responsible for actively prospecting both locally and regionally
  • Expand PVIC wedding reach to continue to grow PVIC as a destination wedding location (Atlanta, Dallas, Etc.)
  • Participate in local and regional bridal events
  • Actively participate in industry related organizations (NACE, MPI)
  • Maintain Wedding Booking and Pace Reports
  • Maintain all wedding menus, packages and any member incentives to ensure
  • Maximize food, beverage and auxiliary revenues by selling menus, additional wedding weekend events and additional experiences/activities throughout the Resort
  • Work with all wedding bookings from the initial inquiry through the point of the tasting at which time the Wedding Sales Manager & Coordinator would attend the tasting together and have the official turnover
  • Is on-site as needed for all large or VIP wedding events
  • Attends BEO/wedding meetings as necessary during wedding week
  • Perform and follow through on any other duties as assigned by the Director of Sales and Marketing and Catering Director.
