Summary: Responsible for performing a variety of administrative support duties in a professional manner by performing the following duties:
Duties and Responsibilities include the following. Other duties may be assigned.
1. Primary function will be ensuring prompt, professional delivery of services to all customers, with a focus on the order entry process
2. Accepts, enters, & manipulates all EDI & None EDI orders from email, or customer portals. Including any amended work orders. Respond to all orders with “received”, with the designated email signature.
· Create templates
· Create driver pay & billing lines
· Use PDF Creator to enter work orders, & other documents into imaging
3. Adjust driver pay/billing when needed due to a rate change.
4.Maintains an extensive filing system for correspondence, business matters and other related data.
5.Answer phone calls, provide customer service, and transfer to the responsible party as needed. Send a follow up email to the customer when needed for back up purposes.
6.Prepares correspondence accurately from instructions and other provided information.
7.Back up for other Specialists when needed.
8.Participate in related problem solving.
9.Perform specialized functions and/or projects as assigned by the Transportation Manager and the Office Manager.
10.Participates and promotes a team work environment
11.Assists with training new team members as assigned.
12.Maintains ongoing communication with management related to issues, concerns or suggestions.
13.Maintains punctual, regular and consistent attendance
14.Attends required company meetings.
16.Requests revisions from customers all required information to enter the order accurately
17.Communicate regularly in teams with all departments.
18.Request rates from our rates department or Business Development when rates are expired, or not on file.
19.Maintains working knowledge of department procedures, processes, trucking terms, load & fuel rates, credit and billing issues.
20. Audits, corrects and maintains integrity of relevant database files
Qualifications:

Education/Experience:
High School Diploma or Equivalent. Prior customer service or office experience helpful.
Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variable in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Computer Skills:
To perform this job successfully, an individual should have intermediate computer skills including: email, word processing, Excel, PDF Creator, Vonage, Teams, Snipping Tool, and database management. Experience with EDI, and Profit Tools trucking software is helpful, but not necessary.
