Position Details

SPECIAL EDUCATION MISSION STATEMENT:
As a department, we are committed to reversing the trend of isolation and segregation of students with disabilities by ensuring all students have access to high quality instruction responsive to their needs and delivered by effective and culturally responsive educators within the Least Restrictive Environment. Our primary focus is to build capacity and to support staff member's district wide to ensure effective instruction is the predictor of student outcomes.
POSITION SUMMARY: The Records Clerk maintains records related to Special Education students and staff. Create staff reports regarding Special Education. Interact with staff, parents/legal guardians, outside agencies and the general public to assist in scheduling IEP and eligibility meetings related to Special Education students for assigned high schools.
MAJOR DUTIES AND RESPONSIBILITIES:
1. Maintain current list of students receiving Special education and related services at the assigned schools.
2. Process official due process documentation for students who have disabilities and who have also been tested and found to be non-eligible for Special Education services.
3. Check for missing due process documentation prior to finalizing and scanning data in Synergy SE/Docuware.
4. Photocopy, print out and distribute Special Education due process paperwork for Special Education staff, parents and legal guardians as well as outside agencies and other districts.
5. Meets with building Special Education staff regularly depending on the number of requests for help.
6. When appropriate, and necessary, distribute parental rights booklets.
7. Forward complete Special Education documentation to the Special Education Department central office.
8. Organize and file paperwork related to the maintenance of Special Education student records.
9. Distribute progress reports upon request.
10. Travels to schools as needed.
11. Maintains active class lists by case manager.
12. Requests special education records from other schools, both within the district and out-of-district.
13. Schedules IEP and eligibility meetings for special education staff, parents/legal guardians and outside agencies upon request of the special education staff.
14. Secures the necessary attendance commitments from all appropriate parties who need to be present at the schedules due process meetings.
15. When necessary, makes room arrangements for scheduled meetings.
OTHER TASKS:
1. Meet with Special Education staff on a regular basis appropriate to the number of Special Education students in the building.
2. Distribute weekly schedule to acting supervisor and assigned schools.
3. Attend required staff meetings for Records Clerks.
4. Other duties that may be assigned by the Special Education Department.
MINIMUM QUALIFICATIONS:
1. High school diploma or equivalency.
2. Experience with data entry and maintenance of an electronic data base system.
3. Knowledge of special education laws and procedures.
4. Ability to work with a wide range of people in a cooperative and collaborative manner.
5. Position requires the use of a personal automobile and possession of a valid Class C Oregon driver's license to drive to/from different locations.


HOURLY RATE RANGE:
Grade H; $124.00 - $29.63/hour

WORK YEAR: 210

FTE: 1.0 FTE
