Position DetailsFor the Leave Associate II, we are seeking an experienced leave administrator who is knowledgeable and has experience administering the Family Medical Leave Act (FMLA)/Oregon Family Medical Leave Act (OFLA), Paid Leave Oregon (PLO) and/or the Americans with Disability Act (ADA). This position is responsible for leave administration in partnership with our third party leave administrators. Duties include processing weekly reports, updating PeopleSoft HRMS, eligibility determination, administration of pay and benefits and responding to a high volume of inquiries and requests. For ADA administration, this position leads, facilitates and guides the interactive process for accommodation and leave requests.
For the Leave Associate I, this position supports the Leave Associate II and provides customer service for the Leave department. A general knowledge of leaves of absence administration and customer service is preferred.
These positions work closely with various stakeholders such as Managers, Timekeepers, Payroll, HR, Risk Management, and third-party administrators. Both positions help employees through the leave of absence-related processes and communicates eligibility such as paid leave time, health insurance, long term disability, waiver of premium, etc.
Successful candidates should be a team player, technically savvy, organized, flexible, someone who takes initiative and thrives in a high volume and fast paced work environment.
  • Perform routine-to-complex technical functions, tasks, and duties in support of employee leave of absence to determine eligibility for new and continuing leave program participants. “E”
  • Interpret and explain rules, regulations, policies, procedures, unit contracts, and fringe benefits; serve as an informational resource to District personnel; respond to inquiries, resolve issues and conflicts and provide information concerning District policies and procedures, negotiated agreements, and employee benefits; assist in solving unique problems of district employees. “E”
  • Assist in organizing and administering the leave programs for employees according to established District policies and procedures, negotiated agreements, federal and State laws, and the Education Code. “E”
  • Receive, process and evaluate leave of absence requests, sick leave bank and a variety of other mandated and collective bargaining agreement forms and applications related to employee leave of absence; review for accuracy and completeness; explain and assist employees with completing LOA forms; establish and maintain employee records and files. “E”
  • Coordinate with the Risk department to ensure that the intersection of FMLA/OFLA leaves, ADA, and Worker’s Compensation is recognized and addressed legally and appropriately.
  • Schedule and participate in a variety of cross-functional teams to review and assure follow-through on multiple projects, programs and employee issues related to health, welfare, leave and other benefits administration. “E”
  • Provide general-to-specialized technical leave administration expertise to district and site administrators, managers, supervisors and staff regarding employee leave matters. “E”
Distinguishing Characteristics Of Each RoleThe Employee Leave Associates’ I, II, & III all participate in and disseminate information regarding the health, welfare, retirement and leave programs and processes of the district. Employees in this classification series explore and develop strategies to align activities directly to the district’s Racial Educational Equity Policy and Human Resource’s Strategic Plan. Classifications are differentiated by the scope of responsibility, levels of complexity and supervision received in distribution of assignments.
The Leave Associate I position is an entry-level assignment in the classification series. Under close supervision, employees at this level perform the more routine, repetitive elements of leave of absence administration, while, with guidance and training, expanding their knowledge and experience to perform the full-spectrum of activities associated with the District’s employee leave programs. Employees in this classification may be eligible to transition to the Leave Associate II classification if an opening is available, after no less than one (1) year of work experience as a Leave Associate I.
The Leave Associate II is the professional-level assignment in the classification series. Within defined parameters, employees are provided greater autonomy in decision-making and perform the full-spectrum of duties involved in leave of absence administration.
