Ports America Shared Services, Inc is Hiring an Executive Assistant Near Houston, TX

Description

Summary: Hybrid Administrative Assistant to the senior executive staff. Requires a range of skills and knowledge of organizational policies and procedures.

Essential Duties:

  • Handles event planning for meetings/events.
  • Prepare expense reports for executive staff according to our travel policy.
  • Manage calendar for executive staff - arranging travel logistics, including itineraries and agendas for executive staff.
  • Performs a variety of administrative duties of a complex and confidential nature.
  • Handles mileage reimbursement requests.
  • Performs other miscellaneous job-related duties as assigned or requested.

Minimum Requirements (Education, Experience, Certifications):

  • High School Diploma or Equivalent.
  • 3-5 years experience in an administrative position.
  • Records maintenance skills; Database management skills.

Knowledge, Skills & Abilities:

  • Ability to gather data, compile information, and prepare reports.
  • Ability to gather and analyze statistical data and generate reports.
  • Ability to communicate effectively, both oral and written.
  • Ability to maintain calendars and schedule appointments.
  • Ability to analyze and solve problems.
  • Ability to make administrative/procedural decisions using independent judgment.
  • Ability to create, compose, and edit written materials.

Working Conditions:

  • The ability to use a computer/keyboard more than 50%/day
  • Self-starter/works well independently
