The Summer@Potomac Office Manager is a seasonal position that reports to the Director of Summer Camp. This position is from January 2024 through August 2, 2024. This would require 8-12 hours of work in a week, Monday-Friday from January-May. The schedule can be developed in partnership. Beginning in June, the hours of work will be 8:00 am -4:00 pm, Monday-Friday.
The Office Manager is responsible for working in tandem with the Director of Summer Programs providing general administrative support in the summer camp office and safety to overall summer camp daily operations. The Office Manager is a leadership presence in nurturing a sense of community and creating a healthy camp environment.
Duties and Responsibilities:
Manage all aspects of the summer camp office including, but not limited to, answering phone calls, taking messages, checking in campers that arrive late, facilitating early dismissal and regular PM dismissal of all campers, distribution of daily dismissal changes to all camp directors, and maintaining a clean and neat office.
Communicate effectively with parents regarding all matters concerning campers. Maintain a log of communication with camper families in Campbrain.
Maintain and track daily attendance of all campers.
Work closely with all the camp Directors to provide them with necessary information including but not limited to list of campers, allergy list, dismissal information etc to ensure that camp runs smoothly. .
Organize the supplies of all camps as received and distribute them to each camp as needed.
Work closely with the kitchen crew to provide them with necessary information like number of students enrolled, allergies on file for the following week’s lunch.
Have a calendar that lets everyone know birthdays for campers and staff, staff meetings and other staff events.
Have a complete knowledge of emergency procedures to ensure the safety of the campers.
Assist in the management of staff by monitoring arrival/departure times and communication.
Actively participate in camp activities to build relationships with campers and staff.
Ensuring all safety protocols and procedures established by Summer@Potomac are followed by campers and staff.
Models relationship-building skills in all interactions. Develops and maintains collaborative relationships with community organizations. Maintains regular, clear, and concise communication within the area of responsibility.
Ensuring the proper use of Summer@Potomac facilities and equipment.
Attend and promote all staff meetings.
Schedule and assist with weekly camp and director’s meetings.
Participate in staff orientations, pre-camp staff training, preparations for camp opening and meetings.
Adhere to the procedures and policies outlined in the Summer@Potomac Handbook.
Perform other duties as assigned.
Qualifications:
Must be 21 years of age and possess a degree
At least 1 year of previous experience as an office manager
Prior experience in managing camps administratively is preferred.
Strong social, organizational, communication and computer skills are required.
Responsible, energetic, enthusiastic and have a positive attitude.
Physical ability to participate in activities with campers (run, sit on the floor, walk and stand for longer periods of time).
Ability to recognize and respond to individual and cultural differences within a diverse population of campers and staff.
