## Job Overview
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support, handle various tasks, and ensure the office operates efficiently.
## Duties
- Verify invoice payments and send documents
- Send final invoices/completion email to customers following job completion
- Keep spreadsheet tracking job totals, outstanding balance, and commisions for sales employees.
- Manage collection schedule and coordinate with receptionist for past due customers.
- Manage Accounts Payable and send letters/checks as necessary
- Assist in project coordination and management
- Manage office tasks including organizing files, scheduling appointments, and maintaining supplies
- Provide front desk support by greeting visitors and answering phone calls
- Conduct clerical duties such as data entry, photocopying, and scanning documents
- Assist with proofreading documents for accuracy
- Deliver exceptional customer service to clients and visitors
## Experience
### Required Skills:
- Complete training on our CRM software
- Ability to coordinate between employees and customers
- Proven experience as an Administrative Assistant or in a similar role
- Proficiency in office management software (e.g., MS Office)
- Strong organizational skills with the ability to prioritize tasks
- Excellent communication skills
- Ability to multitask and work efficiently under pressure
### Nice-to-Have Skills:
- Experience as a personal assistant or in project coordination
- Previous roles involving front desk duties or customer service
- Familiarity with clerical tasks and office procedures
