Position Summary: The Benefits Coordinator is a dedicated professional administering, managing, and overseeing our employee benefits programs, ensuring our team members receive exceptional support and service. Assisting employees with benefits enrollment and questions, verifying and processing benefits insurance billing, maintaining employee database and files, and ensuring compliance with required benefit and notices. This position resolves benefits-related problems and ensures effective use of plans and positive employee relations. This role is pivotal in maintaining our commitment to a healthy, motivated, and engaged workforce.

Duties and Responsibilities:

  • Responsible for administration, management, and reconciliation of employee group benefit programs such as health, dental, vision, life insurance, benefit discount programs, short-term disability, retirement plans (401K & ESOP), Family Medical Leave Act, state specific leaves, tuition assistance, and other company-sponsored benefits.
  • Handles benefit inquiries and investigations to ensure quick, equitable, and courteous resolution.
  • Leads onboarding meetings for benefits with all new hires.
  • Organizes special courses, events and/or activities for employees: e.g., CPR Training, company awards ceremony, health risk assessment events.
  • Responsible for the annual benefit renewals and open enrollment processes.
  • Maintains employee benefits filing systems and ensures benefits changes are entered appropriately in the required systems.
  • Maintains current files relative to benefits and programs attended by employees.
  • Assists employees with health, dental, life and other related benefit claims, Family Medical leave paperwork, and other inquiries.
  • Documents and maintains administrative procedures for assigned benefits processes including Affordable Care Act (ACA) & 1095 reporting information.
  • Responds appropriately to requests from other organizations (such as banks and credit agencies) for verification of employment.
  • Ensures compliance with applicable government regulations pertaining to benefits. Stays current on federal and state law changes and ensures that the benefits plan complies with these laws.
  • Serves as the primary contact for plan vendors and third-party administrators.
  • Coordinates transfer of data to external contacts for services, premiums, and plan administration.
  • Evaluates and revises internal processes to reduce costs and increase efficiency.
  • Recommends benefits programs to management by studying employee requirements and trends and developments in benefits offered by other organizations.
  • Performs other duties as assigned.

Required Skills/Abilities:

  • Outstanding communication (verbal & written) and interpersonal abilities.
  • Strong understanding of different types of employee benefits and applicable laws.
  • Excellent organizational and time management skills.
  • Analytical skills and a keen eye for detail.
  • Proficiency in Microsoft Office and human resources information systems (HRIS).

Education and Experience:

  • Associate’s degree in Human Resources or a related field is required. A Bachelor’s degree in Human Resources, Business, or related field is preferred.
    • If no Associate’s degree or higher, a high school diploma or GED is required along with at least three years of experience in Human Resources.
