What is the purpose of this Job?

As a Commercial Administrator, you will be responsible for performing a variety of clerical tasks to support the efficient operation of our office. Your primary responsibilities will include calling on receivables, managing commercial email correspondence, and assisting in creating job files and special projects as needed. This role is ideal for individuals who thrive in a fast-paced environment, are excellent communicators, and have strong attention to detail.

Job Responsibilities

  1. Calling on Receivables:
    • Contacting clients and customers regarding outstanding invoices.
    • Maintaining accurate records of all communication and payment arrangements.
    • Collaborating with the accounting team to ensure timely payment collections.
  2. Managing Commercial Email:
    • Monitoring and managing the company's commercial email inbox.
    • Responding to inquiries, forwarding important messages, and organizing emails for follow-up.
    • Keeping email communication organized and ensuring prompt responses to urgent matters.
  3. Creating Job Files:
    • Assisting in the creation and organization of job files for ongoing projects.
    • Ensuring that all relevant documents and information are accurately filed and easily accessible.
    • Collaborating with team members to maintain an organized and up-to-date filing system.
  4. Special Projects:
    • Assisting various departments with special projects as assigned.
    • Conducting research, compiling data, and preparing reports as needed.
    • Adapting to new tasks and responsibilities as the needs of the company evolve.

 Qualifications –

  • High school diploma or equivalent; additional education or clerical training is a plus.
  • Prior experience in a clerical or administrative role is preferred.
  • Strong communication skills, both written and verbal.
  • Proficiency in using office software, including Microsoft Office Suite.
  • Excellent organizational and time management skills.
  • Attention to detail and a commitment to accuracy.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Flexibility to adapt to changing priorities and workload.

  • May need to participate in a standard drug and alcohol screening Test.

Schedule-

  • 8 hour shift
  • Day shift
  • Monday to Friday

**** Please note, this is a Part Time Position - Require working for 32 hours a week

Working Conditions-

  • Air-conditioned office.
  • Desk and chair.
  • General office equipment and supplies.
  • Exposure to potential eye strain and muscle strain due to constant use of a computer.
  • Must be able to sit for extended periods of time.

Physical Requirements –

  • Light to Medium Work – exerting up to 20 pounds of force occasionally and/or a light amount of force. Office environment and field visits.
  • Talking – expressing and exchanging ideas by means of spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Hearing – perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication and make fine discrimination in sound.
  • The incumbent is subject to both environmental conditions, with activities occurring inside and outside.

** Our company's pay period is Sunday through Saturday, with WEEKLY payroll! That means payday is EVERY Friday! **
