Preferred IPA of California, Inc. is Hiring an Office Manager-Health Care Near Glendale, CA

Overview:

Preferred IPA of California, an independent physician association managing Managed care members in LA County, is seeking an experienced system & office improvement Manager to join our team. The ideal candidate will help onboard the organization to new software platforms, assist with internal & external communications, support general office reporting, and process improvement duties.

Responsibilities:

1. Assistance with Distribution of Electronic Reports: Using a HIPAA compliant service vendor to distribute our reports requested by clinics/providers.

2. Assistance with Increasing Member Engagement: Finding a solution to increase member engagement using any of a multitude of marketing tools including, texting, robocalls, direct calling, call masking etc.

3. Assistance with Implementation of Auto-dialer: Help identify, implement, and maintain a HIPAA compliant platform to call members with a recording, leave a message, or transfer the calls to Patient Navigators (PN) staff if necessary.

4. Help identify, implement, and maintain a HIPAA compliant texting platform for direct member engagement. If possible, use this platform for text-based marketing (see item 2 above).

5. Call listening: Using the existing phone system, develop a protocol for call quality control to implement mechanism for supervisors to listen to calls made by the patient navigator team.

6. Develop Standardized Reports to Review Various Outreach Team Performance:

a. Reports for staff calls made per week, average length, etc.

b. Provider relation’s weekly provider visitation performance.

c. QI team weekly performance (metrics to be developed)

7. Assistance with the Hiring of a Part-Time Graphic Designer: Designer to assist with Preferred IPA flyers, posters, intranet, internet website, and other various communications to be improved.

8. Homogenize Internal & External Communications, Website, and Intranet Content Updates:

a. Review and update the content of the company intranet including bulletins, letterhead, phone lists, forms etc.

b. Update content of the public internet website as needed including contact information, bulletins, provider locations, etc.

c. Centralize messaging content for email, text, and mailing campaigns.

d. Review foundational documents (org charts, departmental plans, job descriptions, etc.) and update, as necessary.

e. Develop and maintain company-wide culture including staff appreciation, events, holiday parties etc.

9. Manage Marketing Collateral: Assist with design, purchase, and distribution of marketing collateral, flyers, business portfolios, etc.

Skills & experience:

3 years office administration & project management

3 years marketing or communications content management, preferably in healthcare

Strong written and verbal communications skills

Experience with modern communications technologies including bulk texting, email blast, electronic faxing, FTP/SFTP, VoIP, Webex, etc.

Familiarity with data analytics including Power BI

Familiarity with website management, Squarespace experience preferred.

Familiarity with Graphic Design and relevant software, Canva experience preferred.
