Financial Operations Specialist

Regular, Full-Time (Hourly)
Position Summary:
Responsible for financial operations support activities that enable Primary Financial Company (PFC) to maximize placements and fees paid to our corporate credit union owners. The Financial Operations Specialist provides operations support for CD purchases and maturities, ensuring accurate and timely movement of funds among PFC, issuing financial institutions, and investors.
Key Responsibilities:
  • Prioritizes multiple tasks to meet individual trade deadlines, ensuring timely fund movement among investors, PFC, and issuing banks.
  • Imports lockbox interest payment data daily, repairs rejected payments, and reconciles lockbox deposits to the payment system.
  • Monitors the daily cash position, including real-time monitoring and daily reconciliation of all PFC cash accounts.
  • Monitors all trades in process, creates wire transfer orders to issuing banks by individual deadlines. Reconciles total assets daily, and follows up on incomplete trades and certificates held for resale.
  • Maintains knowledge of PFC Application, MemberSmart, and Juniper ACH systems, assisting traders and sellers with system issues.
  • Identifies and resolves trade discrepancies by coordinating with issuing financial institutions and traders/sellers.
  • Closes matured assets (with acceptable payment history) and creates closing GL entries
  • Secures maturing funds from issuers to minimize borrowing needs.
  • Investigates and resolves issuer interest payment discrepancies, ensuring timely and accurate interest payments.
  • Executes month-end processing, producing investor statements, interest checks, and payment reports.
  • Creates, reconciles, and processes ACH files for daily and month-end payments.
  • Assists with month-end and year-end statements processing and 1099’s.
  • Matches incoming issuer safekeeping confirmations to executed trades, ensuring proper FDIC/NCUA deposit insurance coverage.
  • Maintains updated files for all issuers requiring original certificates, updating, processing, and returning to issuing financial institutions in a timely manner.
  • Reconciles interest payment checking accounts daily and monthly, researching and resolving outstanding items.
  • Researches inquiries from traders, sellers, issuers, and investors, (and their auditors), keeping traders and sellers informed of unsold and unfunded assets.
  • Responds to all phone calls and voice mail messages within one business day.
  • Meets all internal and external deadlines as prescribed in company standards.
  • Ensures that all safekeeping records are consistent with PFC front office system.

Required Experience, Skills, Knowledge, and Abilities:
  • Associate's, B.S., or B.A. degree in business, finance, or investments, or equivalent work experience.
  • Two to four years of experience working in bank, credit union, brokerage, trust, or insurance operations.
  • Ability to effectively work onsite and remotely at a home office. The home office must include a dedicated, quiet workspace, reliable high-speed internet connection, and ability to maintain security of confidential information. Remote work requires the ability to dedicate full attention to work duties during business hours, which includes attending scheduled and impromptu virtual meetings and collaboration sessions.
  • Ability to professionally handle inbound and outbound telephone interactions to fulfill customer needs and resolve issues efficiently.
  • Enthusiastic life-long learner with an entrepreneurial drive and mindset.
  • Proven ability to provide excellent customer service consistently.
  • Proficiency with Office 365 suite including Outlook, Word, Excel, and general computer operations.
  • Detail-oriented, capable of handling multiple tasks, and adapting to constant change.
  • Ability to prioritize operational duties within prescribed deadlines.
  • Excellent communication skills, including oral, written, and active listening.
  • Professional demeanor, effective performance under pressure, and independence in learning PFC applications.
  • Ability to work effectively both independently and in a cross-functional, small team and office environment.
  • Strong interpersonal skills with team members, clients, and counterparts.
  • Valid, unrestricted driver's license with occasional driving and overnight travel required.
Non-essential Skills and/or Experience:
  • Ten-key and typing skills.
  • Knowledge of standard business practices.
