Position Overview:
Our client is a mid-sized law firm located in Midtown Manhattan and their clients include domestic and international entities, financial institutions, hedge funds, private equity funds, venture capital funds, buyout funds, commodity pools, and numerous businesses operating in various industries around the world.
We are seeking a Sr. Legal Administrative Assistant to support a Partner of our firm, while also assisting the financial services group consisting of 15 attorneys. This position requires exceptional organizational skills, the ability to multitask efficiently, technological proficiency, and a comprehensive understanding of CRM technology and redlining. The ideal candidate will have a minimum of 10 years of experience in a similar role within a mid-sized law firm environment. This person will be 1 of 2 Administrative Assistants and will be leaning on each other as needed to make sure all 15 attorneys are being assisted within the financial group.
Key Responsibilities:
● Scheduling and Calendar Management: Efficiently manage the Partner's and financial services group's schedules, including coordinating appointments, meetings, and conference calls.
● Administrative Support: Provide comprehensive administrative support to the Partner and financial services group, including preparing and proofreading correspondence, documents, and presentations.
● Multitasking: Handle multiple tasks simultaneously with attention to detail and accuracy, prioritizing tasks effectively to meet deadlines.
● Technological Proficiency: Demonstrate proficiency in various office software applications, including Microsoft Office Suite and legal-specific software.
● CRM Technology: Utilize CRM software to maintain client and contact databases, track interactions, and generate reports as needed.
● Redlining: Assist with redlining and document management tasks, ensuring accuracy and adherence to firm standards.
● Event Management: Organizing firm/client events, luncheons and on-site meetings
● Communication: Serve as a liaison between the Partner, financial services group, clients, and other internal and external stakeholders, maintaining clear and professional communication at all times.
● Confidentiality: Handle sensitive and confidential information with discretion and integrity, maintaining strict confidentiality protocols.
Qualifications:
● Minimum of 10 years of experience as an administrative assistant in a law firm environment.
● Bachelor's degree or equivalent experience preferred.
● Strong organizational and time management skills, with the ability to prioritize tasks effectively.
● Proficiency in Microsoft Office Suite and other relevant software applications.
● Familiarity with CRM technology and document management systems.
● Excellent written and verbal communication skills.
● Ability to work independently and collaboratively in a fast-paced environment.

The ideal candidate will ensure smooth running of the office and effective case management by providing legal services under the supervision of an attorney. This individual will communicate frequently with the clients in order to serve them adequately. Additionally, this candidate will conduct necessary case research to aid the legal proceedings.
