Prism Behavioral is Hiring an Intake Coordinator Near Woodland, CA

Overview:
Prism Behavioral Solutions is seeking a detail-oriented and compassionate Intake Coordinator to join our team. The Intake Coordinator plays a crucial role in the initial interaction with clients and their families, ensuring a smooth and welcoming intake process. This position involves coordinating the intake procedures, managing client records, and providing excellent customer service.
Responsibilities:
- Initial Contact: Serve as the primary point of contact for prospective clients and their families, answering inquiries and providing information about our services.
-Intake Process: Guide clients through the intake process, including scheduling assessments, obtaining necessary documentation, and explaining policies and procedures.
- Documentation: Collect and manage client intake forms, medical records, and other required documentation, ensuring accuracy and confidentiality.
- Coordination: Collaborate with clinical staff to schedule initial assessments and consultations, ensuring a seamless transition for new clients.
- Data Management: Maintain and update client records in the electronic health records (EHR) system, ensuring all information is current and accurate.
- Communication: Keep clear and consistent communication with clients, families, and clinical staff regarding the intake process and any updates.
-Maintain a 24-hour turnaround time on emails and calls with clients and internal staff
-Update Central Reach and other databases daily with accurate data, status changes and notes, including communication with both the client and internal staff regarding the case
-Work closely with clinical staff and other staff in intake, billing and authorizations department to ensure the required steps are taken to appropriately staff and bill for services provided
- Customer Service: Provide empathetic and responsive support to clients and their families, addressing any concerns or questions promptly.
- Follow-Up: Conduct follow-up calls to ensure clients are informed of their next steps and to gather feedback on the intake experience.
- Compliance: Ensure all intake procedures comply with relevant laws, regulations, and company policies.
Requirements:
**Education**: High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.
**Experience: Previous experience in a healthcare or customer service role, preferably in an ABA or mental health setting.
**Skills**: Excellent communication, organizational, and interpersonal skills. Proficiency in using electronic health records (EHR) systems and Microsoft Office Suite.
**Attributes**: Detail-oriented, empathetic, and able to handle sensitive information with discretion. Ability to work independently and as part of a team.
Proficiency in Office 265: Outlook, Microsoft Word and Excel (V-Lookup, Pivot Tables, etc)
Ability to work well under pressure, juggle tasks and work efficiently to meet deadlines
Ability to prioritize multiple assignments and adjust workload accordingly
Must be able to collaborate and be a team player
Demonstrate problem solving and judgment capabilities
BA degree strongly preferred, but not required and also willing to consider equivalent work experience
Spanish is required
**Knowledge**: Understanding of ABA therapy and the needs of individuals with autism and developmental disabilities is a plus.
