Job DescriptionThe "Director of First Impressions" is typically a front-line role, often synonymous with a receptionist or front desk coordinator. This role is critical in shaping the initial experience of visitors, clients, and employees as they interact with the company. Below is a job description for a Director of First Impressions. This role requires someone who is highly organized, proactive, and able to work independently with little or no supervision. The ideal candidate is resourceful, a good problem solver, and possesses strong communication skills.
  • Front Desk Management: Greet and assist visitors, clients, and employees as they enter the office, ensuring a positive and welcoming first impression.
  • Phone Handling: Answer and direct incoming calls in a professional and courteous manner. Manage the phone system, including forwarding calls and taking messages as needed.
  • Visitor Coordination: Manage visitor sign-in processes, issue visitor badges, and ensure all guests are escorted to their appointments or meetings.
  • Office Appearance: Maintain the cleanliness and organization of the reception area, conference rooms, and common areas to reflect the company’s image.
  • Communication: Act as the primary point of contact between the executive and internal/external stakeholders. Handle incoming correspondence, including emails and phone calls, with appropriate discretion.
  • Meeting Coordination: Prepare agendas, take minutes, and ensure follow-up on action items from meetings. Organize and manage logistics for meetings, including virtual meetings.
  • Project Management: Assist with special projects, research, and initiatives as assigned by the executive. Track project deadlines and ensure timely completion.
  • Administrative Support: Perform general administrative duties, including managing files, organizing office supplies, and processing expense reports.
  • Gatekeeping: Manage and prioritize the executive’s time, ensuring they focus on strategic tasks. Screen calls, emails, and requests, redirecting them when appropriate.
  • Event Planning: Plan and coordinate company events, conferences, and team activities as required.
  • Problem Solving: Anticipate the needs of the executive and proactively address issues before they arise. Provide solutions to administrative challenges as they occur.
