PAYROLL SPECIALIST

Job Summary:

We are seeking a detail-oriented and experienced Payroll Specialist to join our team. The Payroll Specialist will be responsible for managing all aspects of payroll processing and ensuring the accuracy of employee compensation. This role requires a high level of confidentiality, excellent organizational skills, and the ability to handle sensitive information with integrity.

Key Responsibilities:
  • Payroll Processing: Accurately process payroll for all employees, including hourly, salaried, and contract workers, in compliance with company policies and federal, state, and local regulations.
  • Timekeeping Management: Review and verify timesheets and attendance records, ensuring proper approval and accuracy.
  • Deductions and Benefits Administration: Calculate and process deductions, including taxes, benefits, and other withholdings. Coordinate with the benefits department to ensure accurate benefits deductions.
  • Compliance and Reporting: Ensure compliance with relevant laws and regulations. Prepare and submit payroll-related reports to internal and external stakeholders, including tax filings and year-end reporting (e.g., W-2s).
  • Record Maintenance: Maintain accurate payroll records and employee files. Ensure records are updated and stored securely.
  • Issue Resolution: Address and resolve payroll discrepancies, errors, and employee inquiries in a timely and professional manner.
  • System Management: Utilize payroll software and systems effectively. Participate in system upgrades and enhancements as needed.
  • Continuous Improvement: Identify opportunities for process improvements and implement changes to enhance payroll efficiency and accuracy.
  • Collaboration: Work closely with HR, finance, and other departments to ensure seamless payroll operations and effective communication.
Qualifications:
  • Education: Bachelor's degree in Accounting, Finance, Human Resources, or a related field preferred (Degree Not Needed)
  • Experience: Minimum of 3 years of experience in payroll processing or a related role.
  • Knowledge: Strong understanding of payroll principles, practices, and regulations. Familiarity with payroll software (QuickBooks) and timekeeping systems.
  • Skills:
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
Preferred Qualifications:
  • Certification: Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Experience: Previous experience in a multi-state payroll environment or with international payroll is desirable.
  • Software Knowledge: Experience with ERP systems.
Working Conditions:
  • Environment: Office-based.
  • Hours: Full-time position, typically 40 hours per week. Occasional overtime may be required during peak payroll periods.
Compensation:
  • Salary: $25.00 -- $31.00
  • Benefits: Comprehensive benefits package including health, dental, and vision insurance, 401(k) matching, paid time off, and more.
