GENERAL SUMMARY

Works at the 'front line' of dental practices, as the first point of contact over the phone or on arrival. Booking patients, greeting visitors, sorting out appointments and undertaking other non-clinical tasks of an administrative nature as described below. Dental assistants welcome to apply!

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Greet patients in a warm and friendly manner.
  • Answer telephones pleasantly and professionally, take complete and accurate messages; follow up on messages, inquire and refer callers appropriately; ensure prompt delivery of messages.
  • Perform patient reminder calls.
  • Collect correct patient payments and understand how to read and calculate the ledger.
  • Maintain accurate dental records.
  • Schedule appointments for office visits and procedures.
  • Perform pre-registration intake for new patients which includes name, address, date of birth, phone numbers, etc. and insurance ID (if applicable) prior to patient arrival at the office to determine eligibility and private co-payments.
  • Verify insurance for patient prior to day of appointment and provide explanation of benefits.
  • Collect treatment fees as well as discussing future financial arrangements.
  • Maintain patient confidentiality as per HIPAA compliance.
  • Receive packages and lab cases.
  • Balancing day sheet and credit card machine at the end of each day.
  • Call patients to fill in no show and canceled visits (same-day visits).
  • Understands basic dental coding and how to treatment plan basic procedures.
  • Other duties as assigned

EDUCATION AND EXPERIENCE

  • General education degree or high school diploma
  • Experience a must
  • Knowledge of Dentrix and other relevant software applications a must
  • Knowledge of general administrative and clerical procedures
  • Working knowledge of dental insurance
  • Knowledge of dental terminology, procedures, and diagnosis
