If you are looking for a place where you can make a difference in the life of a child, Project Harmony is looking for you. We are seeking an experienced and committed Administrative Assistant to join our dynamic and innovative organization. This position is responsible for receptionist and administrative duties, managing the operations surrounding the arrival of guests and clients, and maintaining aspects of the atrium, waiting rooms and other public building spaces.

Hours for position are Mon/Wed 12:30pm-6:30pm; Tue/Thu 12:30pm-7:30pm.

Essential Duties and Responsibilities

  • Welcome clients and guests professionally and provide a positive first impression.
  • Field phone calls and direct to appropriate Project Harmony staff.
  • Manage building access and security badge distribution to ensure a safe environment for staff and guests.
  • Direct visitors to meetings, trainings, appointments and interviews with Project Harmony and partner agencies.
  • Facilitate a safe and secure environment.
  • Schedule meetings/make room reservations for Project Harmony and partner agencies.
  • Maintain a clean and pleasant environment in the atrium and client waiting room.
  • Input client data into software programs and databases.
  • Notify proper staff to troubleshoot basic technology issues within meeting rooms.
  • Sort and deliver mail and packages to other buildings, as needed.
  • Assist with data updates and audits.
  • Supervise children and create a comforting environment for families in traumatic situations.
  • Ability to efficiently transition between the job duties of both the atrium and Children’s Services front desks to ensure proper coverage.
  • Assist with Outcome Measurement System survey distribution.
  • Other duties as assigned.

Requirements

Education and Training

  • Computer skills and knowledge of relevant software.
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Knowledge of principles and practices of basic office management.
  • Comfortable working with children.

Required Knowledge and Skills

  • Demonstrate ability to work with children, families, and professionals.
  • Computer and technical skills using data management and office software products.
  • Knowledge and use of Microsoft Word, Excel, PowerPoint, Outlook and other relevant software.
  • Demonstrate strong organizational and time management skills.
  • Excellent communications skills (written, verbal and active listening).
  • Demonstrates initiative, problem-solving, and conflict resolution skills.
  • Ability to follow verbal and written instructions.
  • Ability to work well independently and as part of a team.
  • Ability to lead and work alone with Children’s Services volunteers.
  • Attention to detail and accuracy.
  • Exceptional work ethic.
  • Must respect and maintain confidentiality.

Work Experience

  • A minimum of two years of previous professional experience related to data entry and administrative duties.
  • Previous experience in working with children.
  • Previous experience in working as part of a team.

Other

  • Must submit to a thorough criminal history background check.
  • Must possess the ability to pass a fingerprint clearance.
  • Must have access to a vehicle possess a valid driver’s license and proof of insurance.
  • Must be flexible with evening availability.
  • Position involves some travel, primarily within the state.
