Job Title: Executive Assistant / Office Admin - Full Time
Job Description: Executive Assistant/ Office Admin for Business Management Firm Music/Entertainment Industry
We are a Business Management firm that manages finances for musicians, songwriters, producers, and other high- profile clients in the entertainment space. We are looking for an energetic and enthusiastic individual to fill the position of Executive Assistant/ Office Admin.
We are currently seeking a motivated and capable Executive Assistant to support the Managing Director in our New Orleans office.This role requires exceptional attention to detail, great organizational skills, the ability to meet critical deadlines while juggling multiple priorities, and a willingness to work in office Monday - Friday during business hours. A high level of integrity and discretion in handling confidential information and professionalism in dealing with executives, clients, and client teams inside and outside the company is essential. In addition to EA duties, this role will also fulfill select office admin and office management duties. The ideal candidate will take initiative, identify solutions, think ahead of what needs to be done, listen actively, and communicate effectively.
Responsibilities:
• Manage Executive's schedule, which includes, but is not limited to, planning and coordinating internal/external meetings,conferences, business travel etc. Anticipate critical events and Executive's needs.
• Serve as gatekeeper for Executive by screening, prioritizing, and escalating requests and inquiries.
• On behalf of Executive, regularly and directly interact with clients, potential clients, artists, and other high-level/VIP persons, and establish and maintain relationships (internal and external).
• Oversee Executive’s time entry and expenses
• Serve as first point of contact in New Orleans office by greeting guests and accepting deliveries
• Oversee office management tasks including mail (distro, postage, FedEx, etc), overseeing office inventory and ordering supplies asneeded, managing office lunches and pantry needs, etc.
• Regularly exercise discretion and independent judgment in performing the above.
• Additional duties as assigned
Qualifications:
• Must have experience in, and be comfortable working in a professional environment
• Must be a self-starter with the ability to prioritize, organize and establish administrative procedures and work under pressure
• Ability to anticipate needs, problem solve, identify solutions, consider options, and take action
• Ability to manage highly confidential information and to act calmly and professionally
• Dynamic and energetic personality; professional demeanor
• Excellent follow-through and attention to detail
• Excellent client-facing skills
• Excellent organization and time management skills
• Excellent written and verbal communication
• Ability to oversee travel logistics- itineraries, international and domestic
• Strong proficiency in and working knowledge of Outlook and other Microsoft Office Products
