PSC Group is Hiring a Business Services Specialist - Project Finance Support - Office Management Near Kirkland, WA

Who We're Looking For:

Join our dynamic team as a Business Services Specialist, where you'll play a pivotal role in supporting our Global Senior Leadership Team (SLT) and North American leadership team. This multi-faceted position offers an exciting opportunity to provide administrative and operational assistance across various business domains, including executive administration, office management, event planning, and project finance.

As the backbone of our business operations, you will be responsible for scheduling meetings, coordinating travel, processing timesheets and expense reports, managing office supplies, and executing events. Additionally, you will contribute to project finance, ensure governance, and collaborate with stakeholders to resolve issues, fostering organizational growth and exceeding client expectations.

This role reports to the Global Business and Strategy Manager, with a dotted line to the Global Manager of Project Finance, and requires a few days per week in our Kirkland, WA office. What You'll Do:

  • Provide executive administrative supportto the CEO and the SLT. Manage calendars, schedule meetings, and coordinate domestic and international travel arrangements.
  • Drive the rhythm of business in close partnership with the Global Business and Strategy Manager, including meeting prep, taking and organizing notes, coordinating logistics and follow-up.
  • Dive into project finance, working closely with teams to monitor budgets and financial plans, ensuring our projects stay on track financially.
  • Provide project management support such as project set-up forms, variation requests, create and maintain schedule and budget tracking spreadsheets, monitor budgets, and various internal and client reporting.
  • Assist with tracking and progressing Accounts Receivable items—liaising with clients and PSC project managers to secure payment— and prepare and issue invoices to clients in line with PSC requirements and in compliance with contractual requirements and obligations.
  • Develop standard practices for celebrating success across the organization, coordinating with the global teams to ensure a consistent approach to event planning and employee recognition.
  • Oversee office managementduties such as budgeting, procurement, and management of office supplies and amenities for all North American offices.
  • You'll be the go-to person for event planning, orchestrating everything from intimate meetings to large-scale corporate events with finesse and precision.

What We're Looking For:

  • A multi-faceted professional with at least 5 years of experience in business support roles.
  • An organizational powerhouse who can juggle multiple tasks with ease and adapt to the ever-changing business landscape.
  • Someone who is adept with Microsoft Office and has a knack for project management tools.
  • A bachelor’s degree in Business Administration or a related field, or equivalent practical experience.

Special Requirements

  • Legally authorized to work in the United States.
  • Ability to travel, occasionally working evenings and weekends as needed for business development and consultancy work.
  • Hand-eye coordination is necessary to operate computers and various pieces of office equipment.
  • While performing the duties of this job, the employee is primarily required to sit or stand at a workstation while operating a computer, phone, and other office equipment. The employee is required to communicate speak, write, type, and hear.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.

We Offer:

PSC is committed to the principle of pay equity – paying employees equitably for substantially similar work. The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions. The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job, the type of years and experience within the industry, education, training, licensure, certifications, and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At PSC it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $78,000 to $105,000.

 You may also be eligible to participate in our profit share program, subject to the rules governing the program, whereby an award, if any, depends on various factors, including, without limitation, individual and organizational performance.
