Role
Reporting to the Chief Executive, the Business Manager of the Florence Office has overall responsibility for the effective and efficient running of the production office to ensure that all customer projects are completed on time and to the highest standards.
Responsibilities o Understand the services that we provide. Thoroughly understand the processes required to deliver our suite of services including: restoration of digital files, preservation of analog materials, research and genealogy, family histories, audio and video interviews, content creation – slide shows and videos, printing of photographs and book production. o Understand the process of creating a customer digital archive including: scanning and other digitization of analog materials, synchronization with customer devices and acquisition of customer digital files, curating, editing of metadata, storage and security of customer digital files, publishing to the customer user interface, maintenance of a customer’s digital archive. o Continually assess processes to ensure that they are as efficient and accurate as possible.
Propose process improvements once identified though assessment. Explore and propose technological solutions to improve processes. o Ensure that all staff are aware of their responsibilities and are adhering to established processes. Ensure that staff utilize the project management software effectively so that project progress is accurately reported, and projects are closed out when completed. o Manage the day-to-day allocation of resources. Set staff goals, objectives, and due dates.
Review performance and implement strategies to maximize output. Conduct training when required. Schedule all staff time off to ensure adequate coverage in the office. o Provide leadership to ensure on-going staff engagement and development. Provide employees with feedback that is both timely and effective. On-board and oversee the training of new team members. Recognize and reward above-and-beyond performance.
o Manage the receipt, security, accounting, organization, storage, handling, care and return of customer’s analog materials. Oversee day-to-day administrative activities, record keeping, petty cash, posting of notices etc. o Ensure that stocks of supplies necessary to complete customer projects are adequate.
Manage the maintenance, cleanliness, and security of the premises. Report maintenance issues in a timely manner. Ensure that all office equipment is maintained and report any issues in a timely manner.
Qualifications o BA/MA in Business or related field or commensurate experience o 5 years of experience including managerial responsibilities o Experience managing and delivering impeccable customer service o A passion for quality and attention to detail o Excellent project management skills o An interest in computer technology, photography, genealogy, and history a plus o Familiarity with Adobe InCopy/InDesign and other Adobe Creative Suite products a plus
