Summary
We are seeking a detail-oriented and organized Purchasing Coordinator to manage the procurement of consumable items and general supplies for our 3PL warehouse operations. This role will primarily focus on ensuring that all necessary consumables, such as boxes, tape, stretch film, pallets, and general supplies, are ordered in a timely manner based on operational needs. The role will also extend to placing orders for pre-approved capital equipment as needed, although these purchases will be infrequent. The Purchasing Coordinator will work closely with department supervisors and the consumables inventory management team to ensure optimal stock levels are maintained. This role reports to the Chief Operating Officer.
Key Responsibilities
- Place orders for consumables and general supplies in response to requests from functional department supervisors, ensuring that all necessary materials are available for daily warehouse operations.
- Collaborate with inventory management personnel to establish and maintain optimal reorder points based on volume consumed, usage trends, and supplier lead times. Ensure timely replenishment of consumables to prevent stockouts.
- Process and manage purchase requests through the company’s purchase request portal, ensuring accuracy and compliance with pre-approved order limits. Work closely with the internal consumables delivery team to coordinate deliveries and stock replenishment.
- Place orders for pre-approved capital equipment when needed, working with the Operations Manager and warehouse supervisors to ensure all necessary documentation and approvals are in place before orders are processed.
- Communicate with suppliers to confirm order details, delivery timelines, and ensure any discrepancies are resolved. Maintain positive relationships with vendors to support the timely delivery of goods.
- Liaise with department supervisors, consumables inventory management personnel, and the internal delivery team to ensure consumables are stocked and distributed efficiently within the warehouse. Work closely with the Operations Manager for warehouse oversight.
- Maintain accurate records of all orders, deliveries, and stock levels. Generate reports for the Chief Operating Officer and Operations Manager, providing insights into usage trends, stock levels, and potential reordering needs.
Qualifications
- Proven experience in purchasing, procurement, or a similar administrative role, preferably in a warehouse or logistics environment.
- Strong organizational skills and attention to detail.
- Ability to analyze data and determine appropriate reorder points.
- Excellent communication and interpersonal skills for cross-functional collaboration.
- English proficiency is required; bilingual (Spanish/English) is a plus to effectively communicate with diverse teams and vendors.
- Proficiency in using warehouse management systems (WMS) and accounting software such as QuickBooks for tracking inventory and managing purchase orders.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
- High school diploma or equivalent is required. An associate degree in supply chain management, business administration, or a related field is preferred. Certification in procurement or supply chain management (such as APICS, CIPS, or similar) is an advantage.
- Experience in a 3PL warehouse environment is required.
Schedule
- Onsite, Monday to Friday, 6am-2:45pm
- Occasional overtime as required
