Salary: $20/hour

Overview: The Administrative Coordinator serves as a hub for general logistics and organization within the company. This role involves managing schedules, coordinating resources, and ensuring smooth communication across various teams. The Administrative Coordinator supports the landscaping team by handling administrative tasks, maintaining records, and facilitating efficient project execution. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

Skill set and educational requirements: 

  • Minimum of three years of experience in an administrative, logistics, or office coordination role, preferably in the landscaping or construction industry
  • Bachelor’s degree in Business Administration or a related field preferred
  • Possess excellent written and oral communication skills
  • Proficient in MS Office Suite and Google Suite
  • Experience with project management software and CRM systems
  • Strong organizational and multitasking abilities
  • Attention to detail and problem-solving skills
  • Excellent interpersonal skills and ability to work collaboratively with a team
  • Ability to prioritize tasks and manage time effectively

Duties/Responsibilities:

  • Manage and maintain project documentation, records, and files.
  • Prepare and distribute project-related reports and communications.
  • Schedule and coordinate meetings, both internal and client-facing.
  • Coordinate the scheduling of personnel, equipment, and materials for projects.
  • Maintain and update project schedules, ensuring all tasks are on track.
  • Communicate with suppliers and subcontractors to ensure timely delivery of materials.
  • Monitor inventory levels and order supplies as needed.
  • Serve as a point of contact for clients, addressing inquiries and providing updates.
  • Work closely with the landscaping and design teams to ensure seamless project execution.
  • Provide administrative support to team members, including scheduling and resource management.
  • Facilitate communication between different departments to ensure coordination.
  • Identify opportunities to improve administrative processes and workflows.
  • Coordinate with the accounting team to ensure accurate and timely billing.
  • Perform other job-related duties as assigned by the supervisor.
