Service Administrator

The Service Administrator handles administrative tasks for the service department and is a liaison between the customer and our legal counsel. The Service Administrator works with sales and distributors as a point of contact for general information about the organization, technology, and services.

Responsibilities : 

• Assists customers via phone or email to provide information about services.
• Keeps records of customer interactions or transactions taken in electronic database. 
• Follows up with contract status and ensures proper processing through our legal counsel.
• Reviews, processes, and approves technician expense reports.
• Creates reports via electronic databases. 
• Reviews tickets and work orders daily to ensure tasks are completed timely. 
•  Assists in developing and maintaining KPIs as requested. 
• Assists in maintaining machine registrations by individual state requirements. 
• Maintains all follow-up communication with our customers. 
• Works closely with the CSR team; including assigning tickets and sales order modifications.
•  Acts as a backup to CSR and Field Service teams.

Requirements:

• 3 years’ relevant experience required.
• At least one to three years’ experience in related field of customer service or admin role. 
• The ability to respond to customers effectively and professionally through oral and written correspondence is a must.
• Must be detail oriented, and able to handle multiple tasks.
• Must be extremely organized and have the ability to prioritize tasks.
• Must have excellent time management skills. 
• Must be efficient in Microsoft Office programs including Word and Excel.
• Strong listening and problem-solving skills, outgoing and confident approach. 
• Strong contract knowledge and ability to read and comprehend contract and warranty language.
