Ralston District Office is Hiring an Executive administrative assistant to the Superintendent Near Ralston, NE

Position Purpose:

Under the general supervision of the Superintendent, to provide clerical support to the Superintendent by maintaining certified employee records, collaborating with the district’s business office to ensure the accuracy of employee salary and benefits information, ensuring compliance with district policies and procedures, communicating with certified staff members, and serving as secretary to the Ralston Board of Education

Essential Performance Responsibilities: This description is illustrative of tasks and responsibilities associated with this position. It is not meant to be all inclusive of every task or responsibility.

  • Provides clerical support to the Superintendent on issues related to the general administration of the district.
  • Organizes and maintains employee records including application materials, continuing education credits, evaluations, background check documents and personnel transactions.
  • Records certified employee information using the district’s e-Finance program.
  • Processes and completes personnel action forms for new, current, or former employees.
  • Communicates with departments, staff members, community members, and applicants to provide information and assistance regarding employment, district policies and procedures, and personnel records.
  • Maintains confidentiality involving all issues related to employee records.
  • Ensures the accuracy of records for certified employees serving on extended contracts, overload assignments, and/or receiving unit pay.
  • Works collaboratively with the district’s business office to ensure accuracy of all salary and benefits information related to certified staff members.
  • Processes all Program of Study forms submitted to the Human Resource office.
  • Processes reimbursements submitted to the Human Resource office.
  • Supervises the placement of all student teachers and practicum students.
  • Supervises the placement of all outside coaches and district volunteers.
  • Serves as a secretary to the Ralston Board of Education.
  • Maintains policy information set by the Ralston Board of Education.
  • Provides logistical support for conferences, workshops, and/or other professional development activities for the Ralston Board of Education and the district’s administrative team.
  • Assists with the placement of substitute teachers.
  • Assists with the onboarding and orientation process for all certified staff members.
  • Responds to routine requests for information from members of the district’s administrative team.
  • Processes documents, data, and materials for the purpose of disseminating information to appropriate district personnel.
  • Establishes, maintains, and fosters a positive and harmonious working relationship with those contacted in the course of work.
  • Maintains a regular and predictable attendance history while employed by the district.
  • Performs other related tasks as assigned by the Superintendent or the Executive Director of Human Resources.

Equipment:

  • Uses standard office equipment such as personal computers, printers, copiers, and fax machines.
  • Extensive use of telephone and e-mail communication systems.

Travel Requirements:

  • Occasionally travels to school buildings and professional meetings as required.

Knowledge, Skills, and Abilities:

  • Knowledge of applicable federal and state laws involving HR related issues.
  • Knowledge of data information systems and data analysis processes.
  • Knowledge of basic mathematical functions involving fractions, percentages, and ratios.
  • Ability to read technical information, interpret contract language, regulations, and laws related to job functions.
  • Ability to use computer network systems and software programs including e-mail, word processing, database, and spreadsheet applications.
  • Ability to organize and coordinate work.
  • Ability to communicate clearly, concisely, and effectively using both oral and written language.
  • Ability to adapt to changing priorities and working with frequent interruptions.
  • Ability to engage in self-evaluation with regard to performance and professional growth.
  • Ability to establish and maintain cooperative working relationships with other contacted in the course of work.

Qualifications Profile:

  • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
    • High School diploma or equivalent
    • Successful prior experience working in a business or HR related field
  • Ability to speak and write in both English and Spanish preferred.
  • Bachelors degree in education, business, human resources, or related field preferred.
