You will join our New York City office

In joining our team, you will be part of an internationally leading company within the area of water, environmental, and energy services.

Your key tasks and responsibilities will be :

Marketing Coordination

  • Preparation of proposals in Microsoft Word and Adobe InDesign.
  • Creation of graphics for presentations, proposals, and reports.
  • Monitor client contracting, procurement, and purchasing portals.
  • Coordinate with marketing staff to maintain and update resumes, project sheets, and marketing collateral.

Project Management Assistance

  • Assist project managers with project setup, preparing invoices, and generating financial reports.
  • Document reviews and editing for compliance with corporate standards, grammar, and punctuation.
  • Assist project teams with meeting scheduling and minutes.
  • Supporting project teams by being the point of contact for external proposal efforts or growth opportunities.

Office Administration

  • Lead administration, equipment, and facilities management, including coordinating suite repairs with building owner and troubleshooting office equipment issues
  • Onboarding new employees, including setting up laptops and monitors for staff, issue guest badges and coordinate visitors, receive / distribute packages.
  • Managing office calendar including monthly meetings, vacation schedules, and organize office social events and client-related events.
  • Coordinate with Corporate Safety team to maintain safety plan for office.

About You

For this role, we believe your starting point is :

  • Minimum 8 years professional experience in similar office settings (professional services / consulting environment preferred).
  • Ability to lift heavy objects (approx. 10 lbs).
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint) and Adobe Acrobat Pro.
  • Excellent written and oral communication skills.
  • Professional and independent judgement surrounding internal and external client matters and communications.
  • Ease in working with diverse personalities and cultures, with flexible and active listening skills.
  • Detail-oriented.
  • Other certifications / proficiencies will be a plus :
  • Notary (or ability to obtain within 6 months).
  • Proficient in InDesign software for generating and formatting reports and proposals.
  • Experience creating graphics for presentations, reports, and proposals.
  • Demonstrated skill in proofreading and editing of technical and scientific writing.

Personal qualities that will help you succeed in this role include strong written and verbal communication skills, strong customer and organizational skills, attention to detail, and ability to work collaboratively across diverse planning, architectural, engineering and construction project teams.
