Visitor Welcome: Greet and direct visitors to the appropriate office/personnel.
Clerical Duties: Answer, screen, and forward calls, respond to emails, prepare documents, maintain records in Excel, and handle light reporting.
Office Security: Follow safety procedures, control access via the reception desk, monitor visitor dashboards, issue visitor badges, and guest parking tags.
File Maintenance: Manage general office files, including parking, visitor/guest data, and other daily office operations.
Office Supplies: Assist in ordering supplies, equipment, and coordinating furniture repair.
Facility Maintenance: Create work orders for office facilities and equipment maintenance.
Employee Engagement: Support local employee engagement events.
Office Services Backup: Assist with mail, office supplies, and other tasks as needed.
Other Duties: Perform tasks such as photocopying, scanning, and faxing as needed.

Office Equipment Proficiency: Regularly operate standard office equipment, including fax machines, copy machines, and computers.

Mail Processes Knowledge: Familiarity with postage machines, UPS, and Federal Express.
Organizational Skills: Ability to multitask, organize, manage time effectively, and prioritize tasks.
Professional Appearance: Maintain a professional appearance, demeanor, and presence.
Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) and other online platforms/software.
Attention to Detail: Keen attention to detail.
Teamwork: Ability to work both independently and as part of a team.
Flexible Schedule: Willingness to work varying schedules, including over 40 hours per week if necessary.

QualificationsEducation:
High school diploma required; Associates degree preferred.
Experience:
Proven work experience as a receptionist, front office representative, or similar role preferred.
3 years of office administration experience preferred, with hands-on experience with office equipment (e.g., computers, copy machines, and printers).
