Medical Office Front Desk Coordinator
Job Description, Responsibilities, Standards and Qualifications
The individual who fills the position of Recovery Services Medical Office Front Desk Coordinator will demonstrate that he or she is capable of carrying-out the following roles and responsibilities:
Core Functions - Duties and Responsibilities:
– Schedule client appointments using the KIPU EHR and Reminder Call systems. Answer phones in a professional manner, and route calls as necessary.
– Conduct new client phone intakes including performing insurance checks on all clients.
– Oversee new client preadmit and admission documentation and complete all necessary data entry.
– Perform clinical authorization requests in the SWMBH SmartCare system. Completing BHTeds Intake and Discharge documentation.
– Conduct insurance authorizations and verifications. Review continued insurance eligibility on a monthly basis for all active Outpatient Treatment participants to ensure that insurance remains in good-standing.
– Collect necessary co-pays and payments for services rendered and posting in accounts utilizing Collaborate MD. Prepare financial statements for clients. Resolve minor patient billing issues.
– Serve as the designated Safety Officer and is responsible for the overall clinical office environment’s safety and security. Schedule, initiate, evaluate and document monthly safety and security walk throughs, quarterly emergency response drills and annual Environment of Care Plan and Environment Proactive Suicide and Ligature Risk Assessment evaluations. Serve on the Safety and Security Committee.
– Develop and implement office policies by setting up procedures and standards to guide the operations of the office. Partner with HR to maintain office policies as necessary.
– Develop and maintain filing system including electronic health records and manual filing systems.
– Carrying out administrative duties such as data entry, filing, typing, copying, binding, scanning, etc.
– Maintain office equipment, including computers, copy/ fax machines. Evaluate new equipment and techniques. Coordinate repairs to office equipment.
– Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands.
– Manage contract and price negotiation with office vendors and service providers.
– Maintain office supplies by monitoring inventory and ordering supplies with focus on anticipating supply needs for all departments and verifying receipt for supplies.
– Keep a safe and clean reception area by complying with procedures, rules and regulations. Ensure reception area is tidy and presentable, with all necessary supplies including bathrooms and coffee station.
– Participate actively in the planning and execution of company events. Coordinate office procedures, annual agency events and trainings.
– All other duties as assigned.

– Possess skills to establish effective relationships with clients diagnosed with substance use disorders and/or mental illnesses.
– Participates in staff and program meetings, staff training activities and continuing education 
opportunities.
– Demonstrate adherence to accepted ethical and behavioral standards of conduct.
Minimum Qualifications and Education Requirements:
– At least 2 years’ proven work experience as office management, administrative assistant, or similar role.
– Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
– Excellent English language composition, grammar, spelling and, punctuation.
– Must possess a valid driver’s license in the State of Michigan.
– Must have reliable transportation and current vehicle insurance.
– Must undergo a Criminal Background Check and be eligible to work under the SWMBH Criminal History Screening Policy or obtain a Criminal Background Waiver.
Additional Qualification:
– Lived Experience with a substance use disorder and be active in personal recovery is desirable.
– Experience in working with persons who are recovering from a Substance Use Disorder is desirable.
Employment Conditions:
– This is a full-time, salaried position. This position requires daytime hours with additional occasional evening, weekend and overnight hours.
– Annual driving record, drug screening and criminal record background checks required.
– Undergo required trainings upon hire and additional trainings and continuing education as required to maintain state licensure.
