REGENCY PROPERTIES is Hiring an Administrative Assistant - Property Management Near Evansville, IN

Education: Minimum high school diploma.

Experience: Minimum three years office experience with knowledge of office procedures and environments.

Skills: Capable of operating a multi-line phone system, basic skills in Microsoft Word and Excel, and good organizational skills. Consistently able to portray a friendly, positive attitude. Able to demonstrate language, math and reasoning skills consistent with those in similar level positions.

Requirements: Has a valid driver's license and reliable personal transportation means available. Occasional domestic travel is required.Regular and reliable attendance.

DUTIES AND RESPONSIBILITIES:

  • Portray a professional, friendly and helpful attitude in greeting visitors.
  • Professionally operate multi-line phone system. Promptly distributes incoming calls to appropriate personnel or department.
  • Creates Purchase Orders and Invoices for the Human Resources, Administration, Construction, and Property Management department through Yardi. Tracks purchases and expenses.
  • Scans all incoming Invoices and distributes to appropriate department(s).
  • Assure cleanliness of lobby.
  • Order and maintain appropriate level of office supplies, letterhead, envelopes and business cards. Keeps supply closet organized.
  • Oversee soft drink/snack machine, and purified water services. Stock coffee bar.
  • Monitor copier and postage machine. Troubleshoot errors and calls for service as needed.
  • New employees - arranges telephone extension set-up, desk supplies and business cards, where applicable. Updates and distributes new phone templates to all office phones as changes occur.
  • Provide front office assistance to all departments, to include mailings, overnight packages, faxes, filing, scanning, and printing. Distributes daily mail.
  • Assists with corporate travel arrangements, utilizing AmTrav, as needed.
  • Assist with mailing default letters to tenants as directed.
  • Requests, collects, and tracks lien waivers and warranties from vendors.
  • Perform other duties and projects, as assigned.
  • Demonstrates and promotes the following company and individual core behaviors: Leadership, Cooperation and Initiative.
