TITLE: Bookkeeper/Office Manager
DEPARTMENT: Regional Office of Education #8
DESCRIPTION: The Bookkeeper/Office Manager collaborates with ROE8 staff to provide financial support for all programs.
PREFERRED QUALIFICATIONS:
- Associates degree in accounting, bachelor’s degree preferred
- Experience with bookkeeping, fund accounting, and financial software for local, state, and/or federal grants
- Experience with management of office staff
- Ability to plan, manage, and problem solve multiple projects
- Ability to use technology effectively
- Troubleshooting skills
- Excellent written and verbal communication skills
REPORTS TO: Regional Superintendent/ Assistant Regional Superintendent
WORK SCHEDULE: Full time, 12 month contract.
COMPENSATION: Regionally competitive pay that is commensurate with experience, State of Illinois IMRF retirement, individual health insurance, paid sick/vacation days
DUTIES:
- Oversee all financial, project, and in-kind accounting for the ROE and other entities that the ROE is the Administrative Agent for
- Process accounts payable and accounts receivable
- Prepare Year End Financial Statements with CPA
- Responsible for the preparation of audit work papers for mid-year and year-end audits with outside auditors; Working closely with department staff on all audit activity. Meet with Auditors from OAG and various Grant Programs.
- Monthly close process to include G/L maintenance, reconciliations, and preparation of financial reports
- Communicate financial targets, metrics, and results to Grants Coordinator to ensure annual budget line items are adhered to and budget is revised as appropriate
- Maintain processes to manage employee expense reports and miscellaneous general expenses
- Payroll Processing
- Completes bi-monthly payroll processing
- Completes bi-monthly, monthly, and quarterly reporting
- Prepares employee files, payroll reports, and paperwork for audits.
- Adhere to policies in Accounting Practices, ex: GAAP, GATA, ISBE and DHS fiscal policies
- Streamline business processes and eliminate inefficiencies
- Develop organization-wide operating budgets that assist management in the administration of its programs
- Supervise, mentor, train, and coach front office staff in their position
- Manage front office staff schedules and work assignments
- Occasional general administrative and clerical support, ie; answer the phone, attend to in person traffic
- Ensure front office operations run smoothly
- Perform other duties as required or assigned
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
