Job Title: Medical Records Specialist - Mental Health Agency

Location: Petersburg, VA

Job Summary: The Medical Records Clerk will be responsible for managing and maintaining client records within our behavioral health agency. This role involves ensuring the accuracy, confidentiality, and compliance of all medical documentation in accordance with state and federal regulations. The ideal candidate will have a strong understanding of medical terminology, excellent organizational skills, and a commitment to supporting mental health services.

Key Responsibilities:

Record Management:

Organize, maintain, and update client medical records and files, ensuring that all documentation is complete, accurate, and up-to-date.

Process incoming and outgoing client records, including requests for information from authorized personnel and agencies.

Data Entry and Maintenance:

Input client data into electronic health record (EHR) systems, ensuring accuracy and confidentiality.

Regularly audit records for completeness and compliance with agency policies and regulatory standards.

Confidentiality and Compliance:

Adhere to HIPAA regulations and agency policies regarding the confidentiality and security of client information.

Assist in the preparation of documentation for audits and compliance reviews.

Communication:

Serve as a point of contact for staff inquiries regarding client records and documentation processes.

Collaborate with clinical staff to ensure that all necessary documentation is collected and filed appropriately.

Support Services:

Assist in the coordination of client appointments and follow-up as needed.

Provide clerical support including filing, scanning, and copying documents as required.

Training and Development:

Stay current with changes in medical record management practices, technology, and regulations.

Participate in training sessions and professional development opportunities as required.

Qualifications:

High school diploma or equivalent; Associate degree in health information management or related field preferred.

Previous experience in medical records management or a related administrative role, preferably within a mental health setting.

Knowledge of medical terminology and relevant regulations (e.g., HIPAA).

Proficiency in electronic health record systems and Microsoft Office Suite.

Strong organizational skills, attention to detail, and ability to manage multiple tasks.

Excellent communication and interpersonal skills.

Working Conditions:

Primarily office-based work with standard office hours; may require occasional overtime.

Interaction with various staff members, clients, and external agencies.

Salary and Benefits:

Competitive salary commensurate with experience.
