JOB PURPOSE:

Responsible for the management of general administration, coordination, and evaluation of human resource functions for REMET Corporation and all US fully owned subsidiary sites as well as the general office management functions of the Commons Road HQ Offices in Utica, NY.

KEY RESULT AREAS

  • Human Resources
    • Develop and administer various Human Resource plans, training programs and procedures for all company personnel.
    • Responsible for the management of all administrative corporate communications.
    • Update, create and revise employee job descriptions as necessary and conduct periodic salary market analysis.
    • Conduct recruitment efforts for all exempt, nonexempt and temporary employees per the needs and requirements of the company. Tasks included with these efforts shall include but are not limited to the following:
      • Placement of employment ads through various channels (e.g., Company website, Indeed, Universities, Industry Organizations, working with third-party recruitment firms and temporary placement agencies)
      • Sourcing of resumes
      • Screening of resumes
      • Conducting initial phone/video interviews
      • Conducting in-person and video interviews
      • Providing recommendations for applicants
      • Performing pre-employment screenings (e.g., reference and background checks, facilitating the drug screening and medical/physical process (when required))
      • Sending response letters
      • Maintaining applicant files
    • Assist management with corporate Succession Plan strategies.

KEY RESULT AREAS CONTINUED

  • Human Resources
    • Facilitate new hire employee orientation and onboarding program, process all necessary administrative paperwork for new hires as well as the facilitation of all employee separation items.
    • Update and maintain all employee personnel files.
    • Handle all employee relations issues:
      • Counseling
      • Disciplinary actions (which may include investigations)
      • Complaint analysis
      • Arbitration
      • Mediation
    • Responsible for all recordkeeping of personnel transactions such as:
      • Promotions
      • Transfers
      • Salary adjustments
      • Terminations
    • Conduct exit interviews to identify reasons for employee separation or termination.
    • Management of all employment verifications and unemployment claims.
    • Assist with and facilitate the reporting and recordkeeping of all Workers Compensation claims to applicable insurance carriers.
    • Ensure HR compliance with all applicable federal, state, and local employment laws.
    • Assist payroll with the entry of all new hire information in the ADP payroll and timecard systems; serve as backup for all payroll functions; responsible for all ACA/ADP compliance reporting; assist with the reconciliation and maintenance of all employee PTO schedules.
    • Upkeep of all I-9 documentation.
    • Facilitate all functions associated with the management of Company health benefit plans (e.g., Medical, Dental, Vision, etc.) which include but are not limited to enrollments, changes, and terminations along with the coordination and administration of the annual benefits open enrollment process for all employees.
    • Administer COBRA continuation benefits for all non-active former employees when applicable.
    • Assist with and administer enrollments and management of the REMET 401K & Profit-Sharing plan with the Corporate Finance team.
    • Assist with the review and audit of all applicable employee benefits and insurance invoices with Accounts Payable.
    • Administer Basic Life/AD&D, Supplemental Life, Long Term Disability and Voluntary Short-Term Disability and insurance benefits.
    • Maintain and update all REMET organizational charts and management of the Driver Conduct Policy with the QEHS team.
    • Respond to employee inquiries regarding company policies, procedures, and programs in compliance with REMET Employee Handbook and any State Policy Handbooks as well as all other Company policies and procedures
    • Perform periodic reviews of the REMET Employee Handbook, State Handbook Policies and other Corporate Policies and procedures when required and in cooperation with outside counsel when necessary.
  • Office Management
    • Coordinate and organize company events such as the annual holiday party, employee picnic/gatherings, sales meetings, customer visits, etc.
    • Represent REMET and its participation in charity sponsored events and promotions such as America’s Greatest Heart Run & Walk, job fairs, etc.
    • Manage vendors and contractors for the Commons Road HQ site as they relate to corporate administration, general maintenance and upkeep of the office and laboratory facilities. This also includes negotiating proposals, pricing, and renewals for all existing and future service contracts.
    • Main point of contact for all office visitors and appointments related to third-party vendors (e.g., cleaning company, landscaping/snow removal, general repairs, etc.).
    • Facilitate and manage the oversight of In-coming and Out-going mail, packages, deliveries, etc.
    • Facilitate and assist with general office security, safety, and good housekeeping practices.
    • Responsible for managing, maintaining and procurement for all general office supply inventories, marketing materials, and merchandise.
    • Create an engaging work culture by team building and recognition programs.
    • Other duties and/or projects as assigned by management.
    • Follow all applicable ISO9001 procedures and work instructions to ensure compliance with the documented Quality Management System. (Understand and implement the REMET Quality Policy.)

MAIN WORKING RELATIONSHIPS:

Internal

  1. Work with senior management enlisting their support to create an engaging work culture, enforcement and adherence to all Company policies and procedures, team building initiatives, recognition programs and strategic recruiting and training plans for the entire organization.
  2. Work with managers, supervisors, and staff employees at all REMET locations to develop a full work force for all departments.
  3. This position works closely with members of the Finance and QEHS Teams.

External

  1. Serve as company’s representative for all health and ancillary benefits, hiring sources and sponsored events or promotions.
  2. Work with outside counsel when necessary.
  3. Work with third party recruiters, employment placement agencies, universities and other organizations and networks to market employment opportunities and assist with recruiting and finding new or temp employees.
  4. Work with outside vendors and contractors to upkeep the building at REMET headquarters.

PROBLEM SOLVING COMPLEXITY:

  • This position works within established Company policies and procedures.
  • The position is primarily focused on assisting all employees and management with questions or concerns regarding employment, policies, and benefits at REMET Corporation and all US fully owned subsidiary sites.
  • The individual in this position must be capable of assessing personnel and employment law issues and situations that may arise and work with management when necessary to determine the proper action and response.

ESSENTIAL JOB FUNCTIONS:

Mental Functions

  1. This position entails support and guidance of all Human Resource functions. The incumbent must be able to safeguard sensitive and confidential information and must be able to provide meaningful analysis on varied subjects as they relate to personal and private employee information. Attention to detail and accuracy are highly regarded traits.
  2. The position requires the ability to prioritize, organize and facilitate multiple tasks throughout a day.
  3. The position requires the ability to effectively communicate with Senior Management, production employees, future incumbents and outside vendors or contractors.

Physical Functions

  1. Employee must be able to lift 40 pounds occasionally.
  2. Daily duties would also include filing, bending, reaching, stretching
  3. All work must be done by a person capable of remaining sitting, standing or walking for long periods of time.

KNOWLEDGE, SKILLS, & EXPERIENCE:

  • The position requires an Associate Degree or Bachelor of Science Degree in a Business Administration, or Communications related field.
  • The incumbent must have at a minimum 5-10 years of experience in either a Human Resource Management or an Administrative Management role.
  • The incumbent must possess strong communication skills and be able to demonstrate a high level of professionalism.
  • The job holder must maintain a high degree of confidentiality as it pertains to proprietary information for the Company and its employees.
  • The incumbent must be proficient in MS Word, Excel and Power Point software and applications.
  • Experience with ADP payroll software is a plus.
