DescriptionThis position is responsible for providing administrative support for the Care Flight leadership team as well as Care Flight line staff. Within this general framework, the following is used as a partial description and is not restrictive as to duties required:
Anticipate the needs of the Care Flight Director and leadership team providing administrative support, including but not limited to, scheduling appointments and meetings, managing multiple calendars, and maintaining files/records.
Manage requests from base supervisors and coordinators for the needs of all Care Flight bases.
Present a highly professional image while dealing with internal and external customers.
Provide excellent customer service when handling incoming calls or in person inquiries and directing them appropriately.
Maintain a high level of discretion and confidentiality while working on sensitive company information.
Take detailed meeting minutes as requested.
Communicate effectively in a clear and concise manner, both orally and in writing.
Multi-task, prioritize and organize own workload.
Purchase and manage all office supplies and operational equipment as needed.
Manage and maintain information required for the PIF (Program Information Form) to comply with the Commission for Accreditation of Medical Transport Systems (CAMTS).
Handle travel arrangements for Care Flight staff.
Manage agency permit renewals
Work with other departments in the organization to ensure the needs of Care Flight are met.
Perform other projects and duties as assigned.
Qualifications/ Experience Requirements
High School Diploma or equivalent education required
Some post high school education plus
A minimum of three (3) years prior clerical and administrative experience required
Must be highly customer service-oriented
Must be professional, discrete and confidential
Must have excellent written and verbal communication skills
Must be detail oriented and organized
Must have excellent time management and process skills
Must be proficient with various computer programs (Microsoft suite including Outlook, Excel, Word and PowerPoint)
Must have the ability to interact with a dynamic management team in program development, problem resolutions, and strategic planning and resolution.
