Opportunity Summary

You will be responsible for handling administrative and clerical tasks. The Office Assistant will be based out of our Tucson office and will handle incoming calls and other communication, greet clients and visitors, update paperwork and documents, manage day-to-day items, support the operations of the Tucson office, and take the lead on various core projects.

Key Responsibilities

· Answers calls, routes them and provides general information.

· Point person for office and field staff.

· Organize and schedule meetings and appointments.

· Greets, directs, and provides general support to clients and visitors.

· Assists and handles (when needed) event planning, coordination and execution to include companywide gatherings.

· Participates in meetings, taking and publishing minutes, as needed.

· Handles sensitive and confidential information, always exercising discretion.

· Maintain and order supply inventory and office equipment.

· Organize and maintain office common areas.

· Assist team member with ad-hoc administration, including organizing committee meetings, town halls, minute meetings, preparing presentations, and setting up required company training.

· Participation in the Social Committee and Mental Health Committee meetings ensuring continue success of committee initiatives.

· Coordinate with IT on all office equipment

· Assist with basic IT support, new hires, exiting team member, equipment inventor and storage, interface with 3rd party IT support and help direct employees and answer questions.

· Help the team create a supportive, collaborative, and positive team culture.

· Job duties will vary depending on projects and as assigned.

Qualifications

· At least 3 years of Administration and/or Office Management experience

· Ability to meet tight deadlines, manage and coordinate several projects simultaneously.

· Demonstrate excellent judgement and have discerning sensitivity to confidential matters.

· Excellent organizational, time management, verbal and written skills and problem-solving skills.

· Ability to build relationships, trust and commitment across all functional groups.

· Excellent computer skills including experience using Microsoft Suite, including Microsoft Teams, Excel, Word, PowerPoint, and Outlook 365 and proficient typing skills.

· Experience supporting an IT division and/or knowledge of basic IT skills - considered an asset.

· Proven ability to work under pressure, prioritize tasks and meet deadlines.
