Summary:

The Laboratory Administrative Assistant will perform administrative tasks for the laboratory.

Responsibilities:

Your primary activities will include but are not limited to:

  • Log in samples in dedicated logbooks and provide lab ETA and TAT for blends, raw materials, bulks, and finished goods.
  • Maintain all applicable lab spreadsheets up to date.
  • Create report templates.
  • Redirect samples to Micro and Chemistry laboratories and split samples into separate bags for lab staff for various analyses.
  • Prepare and send samples out to third-party labs, as necessary. Print results from third-party labs and update templates accordingly.
  • Create Purchase Request (PR) to Purchasing Department for approval and obtain Purchase Order (PO) number to send to third-party labs, as necessary.
  • Release customer reports to lab staff, make copies and generate invoices promptly.
  • Reconcile and close out POs used for sending samples to third-party labs for testing.
  • Track and maintain:
    • The reduced testing program for excipients and other raw materials tested in the lab.
    • Training records for all laboratory personnel.
    • Calibration records for all equipment used in the laboratory.
  • Order lab supplies upon request from Micro and Chemistry labs, create POs, keep track of shipped items, assist in returns, etc.
  • Keep management apprised of any condition and/or findings that may impact production schedules including any issues for which the customer may need to be contacted.
  • Update ETA spreadsheet accordingly and keep Quality Assurance updated regarding due dates, deadlines, etc.
  • Participate in Lab Group Meetings and in-house/outside training to enhance analytical knowledge and productivity. Communicates with internal/external clients, and outside vendors.
  • Keep management apprised of any condition and/or findings that may impact production schedules including any issues for which the customer may need to be contacted.
Qualifications:

Youll need the following (minimum qualifications):

  • Minimum of year (2) year of experience in quality control laboratory or related field.
  • High School education (HS Diploma or GED) preferred.
  • Demonstrated ability for accurate recordkeeping, thorough documentation, attention to detail, and efficient organization of records.
  • Possesses a genuine desire to work in a Laboratory, truly likes working within all aspects of the chemistry process.
  • Fully proficient in Microsoft Office tools, i.e., Word, Excel, and Access.
  • Ability to frequently lift up to 50 lbs., climb step-up ladders, and perform constant motions of scooping, wiping, raising of arms, bending, and kneeling, if needed
  • Ability to be exposed to nutraceutical raw materials and powders which may include allergen related items.
  • Ability to comprehend basic computer knowledge.
  • Exhibits the ability to work well with others and maintain organization between cross-related departments.
  • Excellent written and verbal communication skills; ability to address audiences at varying levels.
  • Ability to work independently and in a team environment.
  • Experience in food/pharmaceutical processing operations, FDA regulated industry, or combination of experience, education, and training that provides the level of knowledge, skills, and experience needed to perform the job successfully (preferred)
  • Must have excellent computer skills.
  • Must be proficient in MS Office especially Excel and typing.
  • Must have excellent communication skills with the ability to interact professionally with others.
  • Ability to meet deadlines, work independently and in a team environment while maintaining a positive, professional, cooperative demeanor to foster productive working relationships with management, coworkers, vendors, and customers.

A reasonable estimate of the current base hourly/salary range for this position is 19.00 to $24.00. Actual compensation offered may vary depending on skill level, experience, and/or education.
