Retina Vitreous Surgeons of CNY PC is Hiring a Medical Receptionist Supervisor Near Liverpool, NY

Job Summary:

Supervises the front desk receptionist team at all locations. Provides and coordinates supervision to all Medical Receptionists on registration, check-in, check-out and patient payment collection. Ensure the smooth and efficient operation of the front office, as well as perform routine clerical duties including overseeing of scheduling appointments, greeting patients, processing forms, maintaining patient medical records, collecting co-payments, and collecting patient balances. Project a professional and positive image through in-person and phone interactions.

The Medical Receptionist Supervisor may be required to travel as needed. The Medical Receptionist Supervisor may be required to communicate and correspond outside normal business hours with staff and management.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)

  • Provides staff in-service training on new procedures relating to registration, check-out, medical records, scheduling and overseeing providers individual schedules.
  • Ensures that staff Immediately responds to patients at the checkout/in windows in a positive, friendly, helpful manner
  • Ensure that staff are appropriately trained regarding payers and policies of the billing department
  • Addresses staff concerns and provides meaningful feedback to staff for growth
  • Maintains and updates all training procedures related to registration, check-in, check-out and scheduling
  • Works with executive level management to track metrics and benchmarks related to front office performances
  • Cross trains in all job duties for the front desk to assure needs of all patients are met and to routinely provide staffing coverage to any location within the practice as needed
  • Create work schedules in a timely manner for staff
  • Ensure cross training in all front desk job duties of newly hired staff during their introductory period
  • Ensure appropriate education and training related to corresponding with all departments, including billing, clinical and administrative.
  • Check communications related to scheduling for physicians on a daily basis
  • Responsible for Lean Teams - assuring Drs schedule is correct throughout day
  • Follow established scheduling protocols and directs clinical concerns to appropriate staff members for triage when necessary
  • Demonstrates computer skills to accurately maintain and develop an understanding of appropriate scheduling protocols based on established policies. Responds to all system alerts
  • Attends practice sponsored training on Compliance, HIPAA, and OSHA as required
  • Utilizes work time effectively and efficiently
  • On rotating basis, required to remain in office (reception desk) until last patient leaves
  • Is punctual for work as assigned, arriving and clocking in at scheduled work time

Supervisory Responsibilities:

This position supervises all front desk staff. Responsible for evaluating the performance of all front desk staff as a new hire and annually. Responsible for corrective disciplinary documentation of staff. Approves bi-weekly timecards and time off requests.

Education and Experience:

  • HS diploma or GED required.
  • Two (2) years’ previous supervision experience
  • Four plus (4 ) years’ healthcare receptionist experience required.
  • Associates degree or certificate from medical assisting or secretarial program preferred.
  • Experience in personal computer environment.
  • Equivalent combinations of education and work experience will be considered.

Equipment, Machines and Software Used:

Ability to operate a computer, printer, telephone, fax machine, photocopier, and postage meter.

Computer Software: Nextech, Allscripts, MDI, Microsoft to include Outlook/Express, Excel and Word.

  • Some analytical ability to gather and summarize data, find solutions to various administrative problems, and prioritize work
  • Skill in organizing and establishing priorities
  • Ability to create, compose, and edit written materials
  • Must be detail-oriented and well organized
  • Ability to maintain accurate records and data files
  • Ability to gather data, compile information, and prepare reports

Job Type: Full-time

Pay: $25.00 - $28.00 per hour

Expected hours: 40 per week
