We are seeking a proactive and detail-oriented HR Assistant/Receptionist to join our team.

Position Description:

In this role, you will serve as the first point of contact for our company, managing reception duties and providing essential administrative support to the HR department. The responsibilities will include greeting visitors, handling phone inquiries, maintaining confidentiality, processing mail, and assisting with HR tasks and events. This position requires strong organizational skills, excellent communication abilities, and the capability to manage multiple tasks efficiently.

Responsibilities:

  • Assist HR Director and HR team with administrative tasks and projects.
  • Manage receptionist duties, including answering phones, greeting visitors, and handling inquiries.
  • Maintain confidentiality of sensitive HR and employee data.
  • Coordinate facility and vendor requests, ensuring timely responses and efficient resolution.
  • Support event coordination efforts, including logistics, scheduling, and vendor management.
  • Assist in planning and organizing company events, meetings, and special projects.
  • Prepare and distribute communications related to HR initiatives and events.
  • Perform general office duties such as filing, scanning, and data entry.
  • Manage mail processing, including coordinating FedEx, USPS, and other delivery services.
  • Ensure accurate and timely distribution of incoming and outgoing mail and packages.
  • Support employee engagement initiatives and wellness programs.

Requirements:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong receptionist skills with excellent telephone etiquette and customer service orientation.
  • Ability to handle confidential information with discretion and professionalism.
  • Exceptional organizational and multitasking abilities.
  • Strong interpersonal and communication skills to interact effectively with employees, vendors, and visitors.
  • Detail-oriented with a proactive approach to problem-solving.
  • Experience or interest in event coordination and support.
  • Ability to manage mail processing and coordinate with various delivery services.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Work Schedule: Monday-Friday 8:00a-5:00p

This role combines HR administrative support with event coordination and mail processing.

Job Type: Full-time

Pay: From $17.00 per hour

Expected hours: 40 per week
