The Associate Director of Admissions Operations provides leadership and strategic direction for the Office of Undergraduate Admission as it relates to data integrity, data collection, analysis, usage, and presentation. The Associate Director of Admissions Operations is a member of the leadership team, and provides training and support for all things related to admission-data and technology, such as Slate CRM and PeopleSoft (the College’s student information system), while assisting with the execution of data-driven processes, communication plans, outreach efforts, reporting and analysis. The Associate Director will be goal-driven, analytical, and responsible for continued evolution and modernization of the Office of Undergraduate Admissions practices, operations, and technology utilization and integration. The Associate Director of Admissions Operations will play a vital role in promoting the College and attracting new students by working closely with the College community.

Primary Purpose
The Associate Director of Admissions Operations provides leadership and strategic direction for the Office of Undergraduate Admission as it relates to data integrity, data collection, analysis, usage, and presentation. The Associate Director of Admissions Operations is a member of the leadership team, and provides training and support for all things related to admission-data and technology, such as Slate CRM and PeopleSoft (the College’s student information system), while assisting with the execution of data-driven processes, communication plans, outreach efforts, reporting and analysis. The Associate Director is responsible for ensuring the seamless flow of data between Slate and PeopleSoft through close collaboration with MIS and various departments throughout the College. The Associate Director will be goal-driven, analytical, and responsible for continued evolution and modernization of the Office of Undergraduate Admissions practices, operations, and technology utilization and integration. A forward thinker, the Associate Director of Admissions Operations will ensure full utilization of the Slate CRM platform, and incorporate industry best practices to develop and implement solutions involving process design, data information, and operational procedures. The Associate Director of Admissions Operations will play a vital role in promoting the College and attracting new students by working closely with the College community.
Essential Duties
  • Lead the development, management, and maintenance of Slate CRM and coordinate integrations with MIS in PeopleSoft and other technology applications
  • Oversee the input of prospect, inquiry, and application data into the CRM and data management system, maintaining a focus on data integrity and accuracy at all times
  • Advise on and execute the program-level vision, strategy, key performance indicators, and goals as determined by the Director and Dean
  • Manage operational and data aspects of the undergraduate admission process, including but not limited to: prospect maintenance, application management, documentation collection, data importing and exporting, decision processing, travel planning, and communication campaigns
  • Supervise print communication flows, including timely and accurate processing of all application materials and decisions, and assist as needed with implementation of additional communication campaigns
  • Monitor, maintain and make recommendations for data collection updates and user enhancements to the admission transactional pages on the external website
  • Create and maintain business processes across the department involving system tracked information, such as admission inquiries and applications, admission file review and decision notification, financial aid awarding, and enrollment deposits
  • Collaborate with MIS, develop intuitive interface designs for end-users and continuous staff training and professional development to maximize CRM functionality
  • Lead operational efforts focused on quality assurance, increased efficiency, and cost reduction
  • Coordinate logistics for new student enrollment efforts involving multiple functional units and help drive related projects toward completion
  • Oversee data processing and sound data management in collaboration with staff in other enrollment management units, cross-campus partners, and external partners (e.g. vendors)
  • Develop, coordinate and prepare statistical admissions reports and data analysis
  • Assist in delivering regular enrollment data reports and fulfill ad-hoc data requests
  • Serve as a project manager for strategic operational initiatives as assigned
  • Maintain partnerships at the national, state, and local levels, including with key professional and industry organizations
  • Work closely with the Director on the development and implementation of new student enrollment goals and recruitment strategies
  • Work closely with the director to manage complex information and data which enhances the recruitment and yield efforts of the College
  • In conjunction with the Admission Leadership Team, recommend strategies and plans to address opportunities and gaps in the enrollment funnel with the aim of increasing activity, engagement, volume and conversion

Required Qualifications
Education Required:
  • Master’s Degree required.
Experience Required:
  • 5-7 years of progressively responsible, full-time experience in higher education college admissions, financial aid, or other enrollment management units, including experience with diverse populations.
  • Experience managing a CRM.
  • Experience integrating a CRM and student information system.
  • Experience mining system data and producing high-level reporting and analysis.
  • Supervisory experience managing/directing groups or teams.
  • Some evening and weekend hours during peak times or to meet deadlines.
License, Tools, and Equipment:
  • CRM (Slate), word processing, database management, spreadsheet software, PeopleSoft, document imaging software (Perceptive).
Preferred Qualifications
  • Knowledge of Slate CRM, Image Now (document imaging software), PeopleSoft, and MS Professional software packages are beneficial, as well as the ability to leverage CRM technology to identify and implement efficiencies and measure outcomes.
  • Demonstrated familiarity with the undergraduate programs at RIC.
  • Bilingual in English/Spanish (fluent in speaking and writing).
