About the Office: The Attorney General is the state’s top lawyer and law enforcement official, protecting and serving the people and interests of Rhode Island through a broad range of duties. Every day, the Office’s attorneys fight to ensure the public safety of the state’s communities, improve the economic security of its citizens, safeguard the state’s spectacular natural resources, and restore the public’s trust in government. Assistant and Special Assistant Attorneys General represent the people of Rhode Island in civil and criminal matters before trial courts, appellate courts, and the Supreme Court of Rhode Island and the United States. The Office is unique among attorneys general offices across the country. Out of fifty states, only two other offices share the same broad criminal mission. The Office’s attorneys prosecute complex and violent crimes and functionally serve as one of the nation’s largest district attorney’s offices, prosecuting all felonies throughout the state.
Duties / Responsibilities: The General Criminal Division Administrative Assistant position is responsible for the handling of administrative duties, as assigned by the Criminal Division Lead Administrative Assistant and Chief of the Criminal Division.
· Answering the main telephone line for the Criminal Division - assisting callers in directing their inquiries/complaints to the responsible Unit, staff member, or outside agency.
· Criminal Division Mail – opening, sorting, stamping, and researching all incoming Criminal Division mail, forwarding to responsible Division employee or Unit.
· Preparing the Daily Status Report – compiling information for cases scheduled for trial, hearings, or daily calendars before the Court. Gather status updates from prosecutors on a daily basis as cases proceed, updating and publishing the reports for distribution to the Attorney General and Criminal Division management team. Posting Pretrial and Trial Verdict reports to the Criminal Division Coverage calendar in Outlook and Trial folders.
· Serving as the main point of contact for submission of daily attendance from each General Criminal employee/Unit and compiling the Criminal Division Attendance Report for distribution to the Attorney General and Criminal Division management team.
· Preparing Prosecutor Case Assignment sheets,running queries through the Court’s Odyssey portal and tagging Criminal cases for the Division Chief to assign to a Division prosecutor. Preparing and e-filing Entry/Withdrawal of Appearance for each General Criminal case.
· Conducting disposition reviews for General Criminal prosecutors and finalizing dispositions in the CMS and FileBound systems. Running prosecutor assignment reports from CMS, on a regular basis.
· Managing the On Call Attorney calendar – notifying BCI, Division Chief and Deputies of assigned weekly on-call prosecutor. Monitoring data entry of the weekly presentments log and ensuring violations are saved to the shared folder. Updating the weekly on-call calendar to reflect scheduling changes and communicating updates, as needed.
· District Court Misdemeanor Appeals – creating a misdemeanor case file from the Superior Court notification data; requesting police package from arresting law enforcement agencies, initiating, and uploading documents to the case in CMS and FileBound.
· Assist the Lead Administrator with special projects, as assigned on an as needed basis.
Education/Experience/Special Requirements: Experience such as may have been gained through employment in a responsible legal assistant position or any combination of education and experience that shall be substantially equivalent. The Assistant must possess superior clerical, research, and organizational skills, as well as the capacity to function at a high level in a demanding environment. Candidates must be proficient and skilled at gathering information and producing, filing, sorting, and routing documents.
