Position Summary:

Under the guidance of the Director and Associate Director, the Center Administrator for the Center for African and African American Studies (CAAAS) works to support the day-to-day business operations of the center. They are responsible for all front office functions and serve as the problem-solving point person for a variety of matters. They also support the Director, Director of Undergraduate Studies and Associate Director. They coordinate many of the administrative functions, special events and activities. They also provide website maintenance and management. They are the first point of contact, the face of the Center, to all visitors, representing the program to internal and external contacts. They are responsible for academic administration tasks that include, but are not limited to: the department’s General Announcements, course offerings and course schedules.

Ideal Candidate Statement:

Ideal candidates should have strong verbal and written communication skills, basic knowledge of managing budgets, the ability to work well under pressure and manage multiple projects simultaneously.

Workplace Requirements:

This is an on campus position: “This position is exclusively on-site, necessitating all duties to be performed in-person. Per Rice policy 440, work arrangements may be subject to change.”

Minimum Requirements: 

Bachelor's Degree

  • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
  • 2 years of related, administrative experience.
    • In lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year-for-year basis may be substituted

  • Ability to develop and initiate new strategies

  • Ability to work well under pressure and manage projects simultaneously 
  • Strong organizational and time management skills 
  • Advanced knowledge of Microsoft Office suite 
  • Strong data analysis skills 
  • Ability to work independently and as part of a team to meet expected deadlines and schedules 
  • Adept at problem solving, creating contingency plans and handling issues when necessary
  • Strong client service orientation and attention to detail 
  • Ability to develop complex or multiple program partnerships and funding sources
  • Ability to oversee and direct staff
  • Knowledge of managing budgets and developing financial plans

Preferences:

  • Experience working in Oracle iO Expense and P2P modules, Esther and CourseLeaf
  • Ability to manage websites using content management programs such as Drupal, Wordpress, Blogs, etc.
  • Proficiency in computer programs such as Adobe Creative Cloud Suite, including Acrobat DC, Photoshop, InDesign, and/or Illustrator
  • Proficiency in Zoom and Webinar platforms
  • Rice experience

Essential Functions:

  • Administers the daily operations of assigned program with general guidance by the Director and Associate Director
  • Conducts research, analyzes data, identifies trends and develops reports
  • Monitor budgets and the development of longer terms budget plans
  • Recommends and implements outreach plans, including communications, events, marketing, conferences, etc.
  • Plans and coordinates logistical aspects of recruitment activities
  • Coordinates travel and accommodations for guest lecturers and visitors
  • Provides support to faculty, staff and students as related to the center
  • Assists with student recruitment, student records, curriculum support
  • Processes images to meet the research and teaching needs of the departmental faculty using programs including Adobe Creative Cloud applications
  • Designs and processes course and outreach materials both in digital and hard copy formats
  • Monitors and maintains program(s) websites
  • Maintains social media accounts
  • Performs all other duties as assigned
