Job Title: Administrative Coordinator

Overview:
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. The ideal candidate will be responsible for supporting daily office operations, managing calendars, coordinating events, and providing exceptional customer support. If you have a background in office management, data entry, and possess excellent communication skills, we encourage you to apply.

Inventory Management:

  • Monitor and manage inventory levels for cleaning supplies.
  • Check supply closets regularly to ensure they are stocked and organized.
  • Place orders for supplies as needed and ensure timely delivery.
  • Maintain accurate inventory records and manage supply budget.

Quality Control:

  • Conduct regular quality checks to ensure all cleaning accounts are maintained to the highest standard.
  • Document findings and address any issues with the cleaning staff.
  • Ensure that new accounts are set up properly, including initial cleaning and supply setup.
  • Follow up with clients to ensure their satisfaction with our services.

Client Management:

  • Act as the primary point of contact for clients, addressing inquiries and resolving issues promptly.
  • Schedule and conduct follow-up visits to ensure continued client satisfaction.
  • Coordinate with the cleaning team to address any special client requests or concerns.

Administrative Duties:

  • Prepare and send invoices for work orders, ensuring accuracy in billing information.
  • Maintain and update client files with proper emails, billing information, and copies of insurance.
  • Schedule work orders and ensure they are completed on time.
  • Assist with the onboarding of new clients, ensuring all paperwork and initial setup is completed efficiently.
  • Handle administrative tasks such as filing, data entry, and responding to emails.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven experience in an administrative role, preferably within the cleaning or service industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with invoicing software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • A proactive and problem-solving attitude.
  • English fluency; bilingual English and Spanish preferred.
