Job DescriptionJob Title: Office Manager - General ContractorOverview: As the Office Manager for our general contracting firm, you will play a crucial role in ensuring the smooth operation of our administrative functions. You will oversee various tasks related to office management, finance, and human resources, with a focus on maintaining efficiency and accuracy. This role requires proficiency in QuickBooks and experience in payroll management.
Responsibilities:
  • Financial Management:
    • Maintain accurate financial records using QuickBooks, including accounts payable and receivable.
    • Prepare invoices, track payments, and reconcile bank statements.
    • Assist in budget preparation and financial reporting as needed.
  • Payroll Administration:
    • Process payroll for employees, ensuring accuracy and compliance with relevant regulations.
    • Manage employee benefits administration, including health insurance and retirement plans.
    • Stay updated on payroll tax laws and regulations to ensure compliance.
  • Office Administration:
    • Oversee general office operations, including managing office supplies, equipment, and vendor relationships.
    • Coordinate meetings, appointments, and travel arrangements for staff members.
    • Implement and maintain efficient filing systems for both digital and physical documents.
  • Human Resources Support:
    • Assist in the recruitment and onboarding process for new employees, including drafting job postings and conducting initial screenings.
    • Maintain employee records and ensure compliance with HR policies and procedures.
    • Address employee inquiries and issues in a timely and professional manner.
  • Communication and Coordination:
    • Serve as a point of contact for internal and external communications, including phone calls, emails, and mail.
    • Coordinate with project managers and field staff to ensure seamless communication and collaboration between office and field operations.
    • Act as a liaison between the office and external stakeholders, such as clients, suppliers, and subcontractors.
Qualifications:
  • Proven experience as an office manager or administrative assistant, preferably in the construction or contracting industry.
  • Proficiency in QuickBooks and advanced knowledge of MS Office suite (Word, Excel, Outlook).
  • Experience with payroll processing and familiarity with payroll software.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Attention to detail and accuracy in financial record-keeping and administrative tasks.
  • Knowledge of relevant regulations and compliance requirements in finance and HR.
  • Ability to work independently with minimal supervision and as part of a team.
Education:
  • Bachelor's degree in Business Administration, Accounting, Human Resources, or a related field preferred.
  • Relevant certifications in office management, accounting, or payroll administration are a plus.
