We are seeking an Office Manager for our team located in Chicago, Illinois. This role involves managing day-to-day office operations, fostering a productive work environment, and maintaining excellent relationships with internal employees, recruits, vendors, and external clients. The position requires the individual to be in-office for two days a week, with the option of remote work for the remaining three days. Responsibilities:• Answer and direct office phone calls, ensuring messages are taken when necessary.• Greet and assist visitors, ensuring a positive and detail oriented first impression.• Plan and organize inter-office and virtual events to create an engaging experience.• Provide administrative support to various department leaders, including calendar and expense management.• Assist in the preparation of meetings, which may include ordering meals or arranging specific equipment or materials.• Collaborate closely with internal departments to ensure projects are completed on time and accurately.• Assist with onboarding of new hires in the office, providing necessary office information and acclimation.• Maintain the appearance of the office and meeting rooms, ensuring cleanliness and comfort.• Manage office equipment and restock supplies as needed.• Handle and distribute office mail.• Assist HR/IT teams with tasks such as setting up IT equipment and cleaning/restocking desks.• Ensure office bills are sent to finance for processing.• Maintain seating charts and employee office lists. Skills:• Proficiency in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook• Knowledge of Accounting Functions, Accounts Payable (AP), Accounts Receivable (AR), Billing Functions• Strong Customer Service skills• Experience with Concur Expense, Concur Travel, Calendar Management, Event Planning
