Job SummaryThe Associate Director, Conferences and Special Events (ADCSE), will join a dedicated and professional team to provide direction, planning and execution of assigned conferences and special events at RIT. The ADCSE will also work on all aspects of high-profile university events managed annually by GCR. This position reports to the Sr. Director(s), Special Events and Conferences with an overall mission to cultivate and enhance RIT’s reputation among internal and external university constituents.
Please note: this position requires occasional evening, morning and weekend work.Job Responsibilities
  • Serves as primary contact for internal and external individuals and organizations utilizing RIT space for conferences, meetings, and other events.
  • Provide direction, planning and execution of assigned conferences and special events at RIT including conceptualizing and creating unique plans, timelines, event strategy, and supervision and delegation of responsibility to execute event.
  • Serves as project manager for assigned events
  • Reviews and advises on event inquiries and RFPs.
  • Conduct research on availability of appropriate facilities and services, and determining potential costs.
  • Determines staffing and financial resources for events.
  • Negotiates contracts/service agreements with outside vendors and ensure proper liability coverage.
  • Conducts post-event assessments, identifying areas of improvement, vendor performance, and improved preparation for future events.
  • Develop original marketing plans to solicit volunteers for events or promote events/conferences.
  • Leverage social media channels to promote events and conferences.
  • Develop strategies for connecting with external stakeholders.
  • Manage event and conference volunteer opportunities and assignments.
  • Identify, research, propose, conduct outreach, market, and implement new ideas for events that will increase revenues or promote RIT.
  • Develop and manage event website content, narrative, and layout.
  • Manage registration and scheduling for assigned events/conferences.
  • Coordinate usage and understanding of various systems and databases capturing event related data.
  • Assess, evaluate, and create event management processes, procedures, and strategies for improving events and general operations.
  • Provides onsite event management as needed.
  • Assist with all aspects of planning and executing high profile university events coordinated annually by GCR.
  • This includes interaction with university senior leadership, trustees, elected officials and other dignitaries.
  • Serve as a liaison with division government and community relations staff to help plan and manage high profile events (i.e press conferences, etc.) that bring public officials, community members and key stakeholders to campus several times a year.
  • Provide input and assist in developing copy for website content and other materials used to market RIT facilities and services.
  • Represent GCR on internal and external committees. You may also be asked to attend external events (luncheons, gala’s, etc.) where RIT is a sponsor.
  • Other duties as assigned by Division VP, AVPs, Senior Directors and other GCR team members.
Required Qualifications
  • 3–5 years’ experience in the areas of event planning, conference management, customer service/relations, marketing and/or public relations required
  • An equivalent combination of experience and education may be considered
