    Job Title: Administrative Assistant – Student Services
    Year Round, 260 days, 8 hours per day
    Performs routine and advanced secretarial, clerical, and administrative duties to assure efficient and effective operation of the office and a positive impact on the provision of educational services.
    Minimum Job Qualifications:
    • High school graduate, plus minimum five (5) year experience in secretarial or related field, preferably in the Special Education environment; requires proven expertise in secretarial and administrative functions, including computer and online skills.
    • High level of communication and interpersonal skills such as discretion, integrity and flexibility to interact effectively with administrators, peers, constituent districts, parents and the general public.
    • Ability to read, comprehend, and transmit complicated and detailed instructions in order to plan and perform job duties.
    • Broad knowledge of organizational operations and policy, and a high level of experience and technical skills.
    • Ability to and pay close attention to details; to organize, prioritize and work independently and co-operatively as well as schedule and produce work in a timely manner.
    • Proficiency with a variety of software programs including Google/Microsoft Office/Canva and the experience and ability to learn new technology applications and tools.
    • General knowledge of Special Education law and rules preferred.
    Specific Duties & Responsibilities:
    • Provides technical assistance (slide deck creation) for countywide professional development
    • Assists with planning and conducting professional development for special educators in the county including all HUB forms and communication.
    • Coordinates ordering and distributing of Special Education Parent Handbooks with Procedural Safeguards for all local districts within Kent County.
    • Applies for SCECHs and SSW-CEs when necessary.
    • Orders and inventories all materials for CPI trainings.
    • Is readily available to support departmental positions and functions as needed.
    General Duties & Responsibilities:
    • Performs standard and advanced secretarial and clerical duties for student services department including providing technical assistance to Directors/Supervisors, creating content; organization of initiatives and administering matters generally routine in nature to conserve supervisor(s) time.
    • Coordinates workshops/conferences, and other functions related to student services department.
    • Performs varied secretarial/clerical duties requiring knowledge of departmental and organizational policies and procedures dealing with area of responsibility.
    • Establishes and maintains confidential files for organizational/departmental records in manual and computerized modes.
    • Initiates, responds to and routes telephone calls; screens and routes incoming mail, publications and other materials, initiates and responds to routine and non-routine inquiries; resolves problems and refers questions with policy and procedure implications to supervisor(s).
    • Provides positive public relations to callers/visitors; makes arrangements for visitors’ comfort.
    • Coordinates local, regional, and national staff development programs and handles all School-Based Continuing Educational Clock Hours (SCECH) applications as well as School Social Work Continuing Education (SSW-CE) applications.
    • Organizes and maintains departmental supplies.
    • Support Assistant Director of Transition with supplies, coordinating meetings and events, etc.
    • Participates in staff development programs to improve personal job skills and performance.
    • Oversees inventory of special education parent handbooks, compiles orders from all districts and PSAs in Kent ISD and places orders accordingly.
    • Maintains inventory for Nonviolent Crises Prevention Intervention (CPI) trainings.
    • Maintains regular and consistent attendance
    • Performs other secretarial and clerical tasks as assigned.

    Salary: Classified hourly Grade 5 = $24.00 per hour
