What this position is all about:

At Rocky Mountain Children’s Health Foundation, we rely on data to help us effectively implement our programs, ensure we’re communicating with the right people at the right times, make informed decisions, and, of course, expand our impact as a nonprofit organization. Our Database Coordinator will play a pivotal role in this process, managing our fundraising and programmatic data to help us grow. This role offers the chance to work at the intersection of data management and philanthropy, allowing you to utilize your technical skills while contributing to a meaningful cause.

We are looking for someone who is highly motivated, passionate about children and families, and particularly skilled in database work. This person will be an integral part of our entire team and will be responsible for critical fundraising and programmatic support, including reporting, financial gift entry and acknowledgment, process and data flow, donor and family record maintenance, prospect identification, and more. This is a full-time position that will be centrally housed on our Finance team, while working collaboratively with others across the organization.

Through our work both directly with families and through medical professionals, we provide much-needed relief and comfort for sick children and infants. Whether it’s a newborn in need of donor human milk to thrive, a child with a serious illness looking for the companionship of a furry friend, or a family who needs to buy gas to visit their child in the hospital, we are there for them when and how they need it most.

Responsibilities:

Database Management

  • Serve as the database expert for the organization, managing and maintaining our financial donor (Blackbaud/REnxt), milk donor (Timeless), and program recipient databases (Apricot).
  • Collaborate with our Programs and Mothers’ Milk Bank teams to ensure form and data compliance.
  • Ensure timeliness, consistency, and accuracy of data in Apricot, Timeless, REnxt, and other databases, including accurate gift entry in REnxt.
  • Reconcile programmatic and fundraising databases with financial records to ensure accuracy across systems.
  • Provide staff and guest users ongoing training and technical assistance as needed.

Data Analytics & Reporting

  • Analyze data to derive meaningful statistics and identify trends to inform decision making.
  • Coordinate reporting needs across the organization, ensuring reports are effectively set up and generated as needed for use in grant applications, community and donor reports, etc.
  • Provide reports to Director of Finance, Executive Director, and Board of Directors as needed.

Fundraising Data Support

  • Provide database support for giving campaigns, including but not limited to end-of-year campaign, Colorado Gives Day, tribute gifts, planned giving, and capital campaigns.
  • Collaborate with development team to send timely acknowledgement letters to donors.
  • Pull stewardship and prospecting lists from database to support fundraising efforts. Research current and prospective donors to support identification, cultivation, solicitation, and stewardship as needed.
  • Assist with special events efforts as they relate to gift entry, acknowledgment, registration reporting and analysis. Represent RMCHF at assigned events.

Administrative Support

  • Maintain inventory tracking system for bulk item distribution and supplies and reconcile with financial reporting as needed.
  • Track and manage staff usage of company-provided databases/software and equipment.
  • Other duties as assigned.

What we’re looking for:

  • At least two years of development experience, specifically in data management.
  • Experience and knowledge in monthly reconciliation and reporting to finance.
  • Proficiency in Blackbaud’s Raiser’s Edge, REnxt, Online Express, Event, and Tribute modules preferred.
  • Knowledge of gift acceptance requirements/guidelines preferred (pledges, donor-advised funds, tax- deductibility and receipt amounts, etc).
  • Experience with inventory management preferred.
  • Proficiency in Microsoft Office Suite, especially Word and Excel.
  • Strong written and verbal skills.
  • Attention to detail and thoroughness in completing projects and assigned duties.
  • The ability to work well both independently and collaboratively with other team members, managing multiple projects and priorities.
