POSITION: Advancement Operations and Volunteer Coordinator
SUPERVISOR: Vice President, Advancement & Marketing
LOCATION: Roslindale, MA
FLSA STATUS: Full-time, Non-Exempt
Position OverviewThe Advancement Operations Coordinator contributes to Rogerson’s development efforts in many important ways. Some of the responsibilities include annual fund solicitations, events coordination, stewardship initiatives, data management/analysis, volunteer coordination, while providing general support to the Vice President of Advancement, Development and Marketing/Communications.
Specific Responsibilities
  • Maintains policies and procedures manuals for data entry and ensures compliance across staff, training users on proper data input and extraction; provides Bloomerang training and support to the team;
  • Prepares donor lists for mailings, emails and calls;
  • Designs and implements database queries and data exports to analyze giving trends and outcomes for the department;
  • Records all pledges and donations including cash, stock, wire transfer and in-kind gifts;
  • Produces receipts and acknowledgements for all pledges and contributions;
  • Prepares and distributes pledge reminders;
  • Codes all mailing and event activities on constituent records;
  • Assists with special event management;
  • Prepares and submits all department invoices;
  • Reconciles department credit card purchases;
  • Maintains all donor hard copy files and records;
  • Prepares gift logs for Finance so that pledges, gifts, and contributions coming from multiple sources including checks (mail), credit cards (online), and stocks/wire transfers are recorded on GLs and booked to appropriate accounts and projects;
  • Works closely with Finance to provide information for audits and oversee weekly, monthly, and year-end reconciliation;
  • Prepares in-house mailings in support of solicitations and stewardship activities; Work with the team to develop annual appeal collateral;
  • Coordinate with the Director of Marketing & Communications for online updates and tools related to annual giving appeals;
  • Provide customer service to annual gift level donors;
  • Works with team on annual appeals for the Rogerson Annual Fund and Welcome Home;
  • Work with outside vendors such as graphic designers, printers, and mailing houses to ensure mailings are produced in an accurate and timely fashion;
  • Serve as a liaison with volunteers and donors, requiring knowledge of office policies and procedures as well as the ability to represent the office to the community;
  • Provide support to VP and team as needed;
  • Other duties as assigned including general support for Rogerson Administration.
Required Education/Experience: Basic QualificationsAssociate’s degree with a minimum of four years’ experience. Bachelor’s degree may substitute for two years’ experience. Additional relevant experience may be substituted for the degree requirement; at least two years of non-profit fundraising experience preferred with specific knowledge in managing a database.
