Job Summary:
The Program Coordinator provides administrative and programmatic support to the Environmental Studies Department and initiatives facilitated by the Rollins Sustainability Program and Social Impact Hub. Supervisory roles will be shared between the Chair of the Environmental Studies Department and the Faculty Director of the Social Impact Hub. The Sustainability Program has three signature initiatives including Fox Bikes, Campus Urban Farm, and Fair-Trade education. As part of the Social Impact Hub, the Sustainability Program, supports curricular and co-curricular integration of sustainability education across the college.
Primary Responsibilities Include
  • Budget
    • Maintain and reconcile budgets (e.g., process invoices, travel expense reports, reimbursements, student payroll).
    • Arrange vendor payments.
  • Student Supervision
    • Recruit, hire, train, and supervise student employees.
    • Set learning goals with students and evaluate performance.
  • Event planning, co-curricular programming, and field studies
    • Plan, coordinate, and supervise activities and resources associated with the Rollins Sustainability Program including Fox Bikes, Campus Urban Farm, Fair Trade Initiatives, campus sustainability events (e.g., Earth Day, Florida Climate Week), and other related initiatives.
    • Coordinate campus events (e.g., reserve rooms, order catering, arrange IT support, etc.) and co-curricular efforts with the Social Impact Hub, Rollins Gateway, Bush Greenhouse, Facilities and Grounds, and the Freshwater Alliance @ Rollins.
    • Book travel (e.g., accommodations, transportation) associated with field studies, guest speakers, or other events.
    • Develop promotional materials for use on social media and at tabling events.
    • Prepare presentations, flyers, and other materials for internal and external stakeholders interested in learning more about our programs.
    • Represent the Department of Environmental Studies and/or Sustainability Program at various events at Rollins and in the community.
  • Administrative work
    • Answer telephone and route calls to relevant parties.
    • Order office supplies.
    • Assist in completion of departmental tasks including course scheduling, grant reporting, program assessment, etc.
    • Maintain MyRollins pages for associated programs.
Minimum
Qualifications & Education:

  • Two years of experience in program coordination and office administration.
  • Ability to perform and coordinate complex office administrative work requiring the use of independent judgment, proactive time management, delegating, and initiative.
  • Knowledge of office budgeting/accounting methods and practices to process invoices and reconcile multiple budgets.
  • Strong interpersonal skills, including the ability to work professionally with campus colleagues, leadership, students and external constituents at all levels.
  • Strong proficiency in using standard office equipment, computer software (i.e. MS Office) and social media.
  • Demonstrated proficiency in adapting to new technology and acquiring new technical skills.
  • Ability to contribute to, help foster, and sustain a diverse and inclusive learning and working environment at Rollins.
  • Demonstrated cross-cultural awareness and communication skills to maximize effective collaboration across diverse groups.
Preferred Qualifications:
  • Bachelor's degree.
  • Experience working at a College.
  • Knowledge of College environment, departments, procedures, and policies.
Work Schedule:
The Program Coordinator is a full-time, 12-month appointment, scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this role is:
  • Monday - Friday, 8:30 am to 5:00 pm (with a 1 hour paid lunch)
*Flexible schedules or overtime may be required/ to meet the demands of the academic calendars
Work Environment:
  • In-person, campus-based position working in an office environment.
  • Work requires some visual strain due to work on computer.
