Saint Mary’s Catholic High School is seeking a dedicated and detail-oriented Administrative Assistant to support the Admissions Director. The ideal candidate will be a proactive, organized, and professional individual who can handle a variety of administrative tasks with efficiency and discretion. This role is integral to the smooth operation of the admissions office and requires a commitment to the values and mission of a Catholic education.
POSITION TITLE: Administrative Assistant to Admissions Director
GENERAL DESCRIPTION: The Administrative Assistant to the Admissions Director performs administrative duties in support of the maintenance of the school’s Admissions department. The duties and responsibilities include providing administrative support to ensure efficient operation of the Admissions office. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Reports to the Admissions Director.
Essential Job FunctionsAdministrative Support:
  • Assist the Admissions Director with daily administrative tasks, including scheduling, correspondence, and managing calendars.
  • Prepare and process admission documents, including applications, transcripts, and recommendation letters.
  • Maintain accurate and organized records of prospective and current students.
  • Handle confidential and sensitive information with discretion.
Communication
  • Serve as the first point of contact for prospective students and families, providing information about the admissions process and the school’s programs.
  • Respond to inquiries via phone, email, and in person, ensuring timely and professional communication.
  • Assist in the coordination of open houses, tours, and other admissions events.
Data Management
  • Enter and update applicant information in the admissions database.
  • Generate reports and statistics related to admissions data.
  • Monitor application status and follow up with families as needed.
Event Coordination
  • Assist in planning and executing admissions events, including information sessions, open houses, and shadow days.
  • Coordinate logistics for events, including room reservations, catering, and materials preparation.
  • Provide on-site support during admissions events, ensuring a welcoming and organized experience for attendees.
General Office Duties
  • Perform general office duties such as filing, copying, and ordering supplies.
  • Collaborate with other administrative staff to ensure the smooth operation of the school office.
  • Support other departments as needed, demonstrating flexibility and teamwork.
Knowledge, Skills, And Abilities Required
  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office and PowerSchool a plus
Minimum Qualifications
  • At least 2 years of experience in the field or in a related area
  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred
  • FBI Fingerprint clearance completed
  • 12-month, full time position, some evenings and weekends required
