Principal Responsibilities:

Jewish Community Center of Greater Albuquerque

EXECUTIVE ASSISTANT Classification: Salaried Exempt

Reports to: Chief Executive Officer: (C.E.O.)

Schedule:Full Time - Days

Summary/Objective:

Provides general administrative support to the CEO which will include the management of the CEO's schedule, support for the JCC Board of Directors (BOD), and special projects.This role also includes administrative support for fundraising activities.

Essential Functions:

  • Schedules the CEO's appointments and meetings
  • Compiles materials for meetings and assists with the preparation of presentations
  • Keeps the CEO informed of upcoming meetings and commitments
  • Manages purchase orders for the CEO
  • Makes travel arrangements / conference registrations
  • Sends meeting invitations, agendas, and reminders to BOD with supplementary reports in advance of meetings
  • Takes minutes and attendance at BOD meetings
  • Maintains Board roster and files for all BOD actions, minutes, policy votes, etc.
  • Compiles material for BOD Handbook and creates and inserts updates
  • Distributes BOD Handbook and any supplementary material to new BOD members
  • Ensures that Conflict of Interest Form is signed by BOD members
  • Coordinates the Community Annual Meeting and purchases awards for honorees
  • Assists Development Director with administrative tasks and special projects as needed/requested
  • Leads, facilitates, or supports special projects as assigned

Working Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

This is largely a sedentary role with expectations of sitting most of the day; however, some filing is required. This would require the ability to lift files and other items up to 20 pounds, open filing cabinets and bend or stand as necessary.Specific vision abilities required by this job are the ability to work and view using a monitor with or without accommodations for low vision.

Position Type and Expected Hours of Work
This is a full-time position from Monday through Friday. Occasional other hours may be required as job duties demand including mandatory overtime as needed. Vacation approval may be limited during peak activity periods.

Required Education and Experience

  • High School Diploma or GED
  • At least 3 Years of experience in an Administrative Support Role
  • Ability to Multitask
  • Exercise discretion and maintain confidentiality.
  • Demonstration of strong organizational skills with attention to detail
  • Strong Computer skills
  • Proven skills in MS Office Suite, Excel, Word, Outlook, Powerpoint, Adobe Acrobat and Zoom.
  • Proven skills in working with databases, entering information, pulling reports, etc.
  • Personable, friendly, customer-service oriented
  • Able to work as a team player
  • Uses initiative and is resourceful
  • Ability to develop and maintain a professional working relationship with the JCC members and staff

Preferred Experience

  • Experience in a non-profit setting
  • Experience providing administrative support to Senior Management
  • 5 years of experience in an administrative support role
  • Board of Director experience - setting up meetings and preparing minutes
  • Experience and knowledge of fundraising
